Report Schedules emails you (or a teammate) a digest of your shop's key reports every day, week, or month, so you can see the numbers without opening the app. It's for owners and managers. By default the Owner, Admin and Manager roles can see and set it up, the same people who can view financial reports.
Getting there
Go to Settings → Report Schedules (it's in the admin group of tiles). The page shows a card called Scheduled report digests with every schedule your shop has, plus a New report schedule button at the bottom.
Creating a report schedule
- Click New report schedule.
- Name (optional) — something like "Weekly owner digest". It becomes part of the email subject. If you leave it blank, the email is called "Report digest".
- Under Reports to include, tick one or more of:
- Revenue overview — total revenue, total tips, number of payments and average ticket
- Payment method breakdown
- Appointment stats
- New customers
- Top services
- Top customers
- Pick a Frequency: Daily, Weekly (the default), or Monthly.
- Enter the Destination email. It has to be your own account email or the email of an existing team member on this shop. Any other address is refused.
- Click Create.
The first email goes out one day, one week, or one month after you create the schedule, depending on the frequency you picked. If you don't want to wait, use Send now (below).
What's in the email
Each report you ticked becomes its own section in one email. The reports use the same default window the Reports page shows when you haven't set any filters: date-based reports cover the last 30 days, and Top customers lists your top 10 customers by lifetime spend. You can't set a custom date range on a schedule. For that, open the report on the Reports page (see Finding a report and setting the date range in Reports).
If a section has nothing to show for the period, it says so (for example "No completed payments in this period.").
Sending a digest right now
Each schedule in the list has a play button (Send now). Click it to build and email the digest immediately. You'll see a message saying how many sections were included. If email isn't set up for your shop, the report still builds, and the message tells you the email couldn't be sent.
Automatic sends are checked every hour, so a scheduled digest arrives within the hour it's due.
Pausing, resuming and deleting
- Pause or resume: use the switch on the schedule's row. When you turn a paused schedule back on, its next send is counted from that moment, not from when it was paused, and any old error clears.
- Delete: click the trash icon, then Delete in the "Delete report schedule?" box. Future digests stop. Past runs stay in the audit log.
Each row shows the schedule's name, frequency, destination email, the reports it includes, and when it last ran (or "never run"). A failed run shows "(failed)" and the error.
When a schedule pauses itself
Before every send, SalesThumb checks again that the destination email still belongs to an active team member on your shop. If that person has been removed, the schedule turns itself off instead of sending. The row is highlighted in amber with a warning icon and an error starting with "Report schedule paused:". It won't turn back on by itself. Either point a new schedule at someone current, or delete it.

Frequently asked questions
Q: Can I send a scheduled report to my accountant or someone outside the shop?
A: No. The destination email must be your own account email or an existing team member's email on this shop, and it's checked again before every send.
Q: Can I pick the date range a scheduled report covers?
A: No. Each report uses its default window, which is the last 30 days for date-based reports. Top customers shows your top 10 by lifetime spend. For a custom range, open the report on the Reports page.
Q: Which reports can I schedule?
A: Revenue overview, Payment method breakdown, Appointment stats, New customers, Top services, and Top customers. You can include any combination in one schedule.
Q: Why did my report schedule switch itself off?
A: The person it was sending to is no longer an active team member on your shop. The schedule pauses itself instead of sending and shows an error starting with "Report schedule paused:". It stays off until someone changes it.
Q: Who can set up report schedules?
A: Anyone with permission to view financial reports. By default that's the Owner, Admin and Manager roles.
