Watch: How to see unpaid invoices by age (AR aging) in SalesThumb (0:51)

Accounts receivable (AR) aging shows how much customers still owe you and how long it has been waiting. The older a balance gets, the less likely it is to be paid, so this report tells you where to start.

Open the report

  1. Open Reports and switch to the Detail view.
  2. Under Financial, click AR Aging.

Read the aging buckets

Across the top, every open balance is grouped by age:

  • 0-30 days
  • 31-60 days
  • 61-90 days
  • 90+ days

Each bucket shows the total still owed and how many invoices are in it. An invoice's age is counted in days from when it was created.

See each unpaid invoice

Below the buckets, every open invoice is listed with the invoice number, customer, due date, age in days and the balance left to collect. Only invoices that have been sent or partly paid, and still have a balance, show up here. Drafts, paid invoices and voided invoices don't.

Work the oldest balances first, since those are the ones most likely to slip. From an invoice you can text the customer a pay link or record a payment.

Who can see it: Owners, Admins and Managers, by default.

Frequently asked questions

Q: How is an invoice's age calculated in the AR aging report?

A: It's the number of days since the invoice was created. The report puts each open balance into 0-30, 31-60, 61-90 or 90+ days.

Q: Which invoices appear in AR aging?

A: Invoices that were sent or partly paid and still have a balance. Drafts, paid invoices and voided invoices are left out.

Q: What should I do with old balances?

A: Start with the 90+ bucket. Open each invoice and text the customer a pay link, or record a payment if they've already paid you another way.
