Watch: How to see your cancellation and no-show rate in SalesThumb (0:50)

Every canceled appointment or no-show is a bay sitting empty. This report shows how often it happens, so you can tell whether reminders and deposits are working.

Open the report

  1. In the sidebar, click Reports, then switch to Detail.
  2. Pick your date range across the top, for example the last 90 days.
  3. In the list on the left, under Operations, click Cancellation & No-Show Rate.

Read the numbers

  • Total is every appointment scheduled in that date range.
  • Completed is how many were finished.
  • Cancellation Rate is the share that got canceled, with the number of cancellations underneath.
  • No-Show Rate is the share where the customer didn't show up at all, with the count underneath.

Appointments are counted by their scheduled date, and the rates are rounded to the nearest whole percent.

Spot a trend

Switch the range to YTD (your year so far) and compare it with the last 90 days. If no-shows are climbing, turn on text reminders or require a deposit for online bookings.

Who can see it: Owners, Admins and Managers, by default.

Frequently asked questions

Q: How is the no-show rate calculated?

A: It's the number of appointments marked No-show divided by every appointment scheduled in the date range you picked, rounded to the nearest whole percent.

Q: Which date does the report use for each appointment?

A: The appointment's scheduled start date, so pick the range for when the appointments were booked to happen.

Q: How do I lower my no-show rate?

A: Turn on automatic text reminders and consider requiring a deposit for online bookings. Then compare this report's rate before and after.
