Sales Matrix: the Quote created window

After Save as quote in a Sales Matrix presentation, a window shows the new quote and the free estimate SalesThumb booked for the next business day.

Watch: What the Quote created window shows after a Sales Matrix presentation in SalesThumb (2:10)

When you tap Save as quote on the Sales Matrix Review screen, a window opens. It confirms the quote and shows the free estimate that SalesThumb put on your calendar. This article explains what is in that window.

The title

  • Quote 10006 created (with your quote's number): the presentation was saved as a new quote.
  • Already on the books: this presentation was already saved. The window points at the existing quote instead of making a second one.
  • Invoice couldn't be created: you tapped Create invoice and the invoice step failed. The quote is still saved. A Why it failed box shows the reason. Tap Retry, or open the quote and convert it from there.

The Follow-up estimate

SalesThumb books a free estimate for you the moment the quote is saved. The window says "A follow-up estimate was booked. The time is below; change it on the calendar if needed." The Follow-up estimate box shows the day and time, with "Requested slot · confirm on the calendar".

  • The slot is 9:00 AM on the next business day, in your shop's time. A Saturday or Sunday moves to Monday.
  • It is a 60-minute appointment on your first active bay or installer. If that time is already taken, SalesThumb tries an hour later, and keeps going until it finds a free hour.
  • On the calendar it is titled "Free estimate", with the customer's first name and last initial and the quote number. Its status is Scheduled.
  • Booking it also closes an open lead for that customer as Won.

If SalesThumb can't find a free slot, or the booking fails, the quote is still saved and the Follow-up estimate box does not appear. The window says "No follow-up estimate was booked. Use Calendar to book one if the customer wants it." Check the calendar and book the visit by hand. See Manually booking an appointment.

Nothing is sent to the customer from this window. It tells the rep to confirm the time with the customer by SMS or email before the day.

Send the quote to the customer's phone

The window shows a QR code under Scan to view on your phone. The customer can scan it, or tap Text me this quote. If the customer has no phone number on file, a Your phone number box opens. Type the number and tap Send. The window then says "Quote texted to your phone".

The three buttons

The note in the window names the same buttons: "Tap "Create invoice" to convert this quote, "Calendar" to adjust the slot, or "Open quote" to send for approval." There is no button called Open calendar.

Other ways through

If you tap Create invoice on the Review screen instead of Save as quote, SalesThumb saves the quote and goes on to the invoice. You don't see this window.

For a flat glass cart with a customer, a scheduler opens first so you can pick the estimate time. See Estimate scheduler for flat glass.

Frequently asked questions

Q: Where does the Follow-up estimate time come from?

A: SalesThumb books a 60-minute free estimate for 9:00 AM on the next business day in your shop's time. Saturday and Sunday move to Monday. If that slot is taken, it tries an hour later, and so on.

Q: Why is there no Follow-up estimate box?

A: The quote is still saved, but no estimate was booked, for example because no free slot was found. The window says so. Use Calendar to book the visit by hand.

Q: Does the customer get a text about the estimate time?

A: Not from this window. It tells the rep to confirm the time with the customer by SMS or email before the day.

Q: What does Already on the books mean?

A: The presentation was already saved as a quote. The window points at that quote instead of making a new one.
