Right after a rep finalizes a Flat Glass estimate on the kiosk — whether they save it as a quote or create an invoice — SalesThumb pops open a mini-calendar on the same screen so the customer can pick their own follow-up appointment before they even leave. This triggers as soon as the sale is finalized, not only once payment has actually been collected: on the "Save as quote" path there's no invoice yet at all, and on the "Create invoice" path the rep still takes payment afterward, on the invoice page — the scheduler shows up either way. This Estimate Scheduler is a separate booking surface from both your main calendar and your public online booking page — it only shows up in this one moment, for this one product line. The slot the customer picks gets written straight into the same appointments table as every other job on your calendar, tagged as a "Free estimate," so your team sees it on the regular schedule without doing anything else. The operator-facing controls for hours, slot size, lead time, available days, and blackouts live at Settings → Sales Matrix, inside the Kiosk behaviour card.
How the customer sees it
The scheduler modal opens on the kiosk's Review screen automatically as soon as the rep finalizes a Flat Glass sale — Save as quote or Create invoice both trigger it — there's no separate step to launch it. The customer sees a short prompt asking when works for their free estimate (personalized with their first name unless the shop has privacy mode turned on), plus a line noting the visit will be at their home or business, matching whichever one they picked earlier in the flow.
Below that sits a row of day pills across the top — each showing the weekday, date, and either how many slots are open or "Full" if none are — and a grid of tap-sized time buttons for whichever day is selected. The customer taps a time, then taps "Lock it in for [time]" to confirm; that button stays disabled until a slot is picked. There's also a "We'll figure it out later" option if they'd rather skip and let your team follow up instead. Once booked, the modal shows a confirmation screen with the date and time, plus a note that a reminder goes out the day before.
If there simply aren't any open slots in the visible window, the customer sees a message that your team will call to find a time, with a "Done" button to close out — the quote or invoice is already saved on your side either way, so nothing here is lost. If the slot list fails to load, they get a "Try again" / "Skip for now" choice instead of a false "nothing's open" message.
The customer never sees other appointments, staff schedules, or the reason behind any blocked-off time — only which slots are open.
Setting bookable hours, slot size, and days
Open Settings → Sales Matrix and scroll to the Kiosk behaviour card. Near the bottom, under Estimate calendar, you'll find three independently-savable blocks:
- Bookable hours — the shop-local start and end time of the bookable day (default 9:00 AM–5:00 PM). The customer never sees a slot outside this window.
- Slot size, days ahead, lead time — how many minutes each slot is (default 30), how many days out the customer can see (default 14), and how many hours of notice is required before a slot counts as bookable (default 4).
- Available days — Sun–Sat toggle buttons (default Mon–Fri). Turning a day off makes it disappear from the customer's view entirely.
Each block has its own Save button, so you can change the hours without re-submitting the days, and vice versa. Hours and slot size apply the same across every day you've marked available — there's no separate start/end time for, say, Saturdays versus weekdays.
Blocking off days and times
Below the hours and days settings, the "Block off days & times" panel lets you add one-off closures — vacation, training, lunch, anything nobody should be able to book during. For each one, pick a Start and End — there's an All day checkbox too, but it doesn't skip the times, it just controls how the closure displays afterward — and optionally add a short reason for your own team's reference; customers never see it, they just see the slot missing.
This blackout list is shop-wide, not scoped to the Flat Glass scheduler alone: a closure added here also blocks your main public online booking page for that same window. There's no bulk "add all the holidays" option in this panel — each closure is its own row.
Things to know
- The scheduler appears as soon as a Flat Glass estimate is finalized on the kiosk — saved as a quote or turned into an invoice — it doesn't wait for payment, and it isn't triggered by other product lines.
- Booking requires an active calendar resource (a bay or installer) already set up under Settings → Installers & Bays. If none exists, the customer's booking attempt fails with a message telling you to add one there.
- When the customer books a real slot here, it replaces the generic placeholder estimate appointment that gets auto-created when the quote is committed at checkout — the placeholder is canceled, not deleted, so your calendar doesn't end up with two appointments for one job and you can still see it happened.
- If the customer captured any Flat Glass interests during the kiosk session — rooms/areas, specific concerns — those get added into the appointment's notes automatically, so whoever runs the estimate sees more than a bare "Free estimate" title.
- Blackouts don't check against appointments already on the books. If you block off a window that already has jobs in it, SalesThumb won't warn you or move them — check your existing schedule first.
- Blackouts and slot rules aren't per-bay or per-tech — they apply shop-wide.
- If your shop has "Create invoice" configured to skip straight to invoicing without saving a quote first (an opt-in setting, not the default), there's no placeholder estimate appointment auto-created at checkout — so if the customer skips the scheduler in that configuration, there's nothing on your calendar until you book something manually.
- Changing hours, slot size, days, or blackouts takes effect immediately for the next customer who reaches the scheduler; nothing needs a save-and-restart.
Frequently asked questions
Where do I configure the Estimate Scheduler? Settings → Sales Matrix, inside the Kiosk behaviour card. Scroll down to the Estimate calendar block for hours, slot size, days ahead, lead time, and available days, and the Block off days & times panel below it for blackouts.
Does the scheduler wait until the customer has actually paid? No. It opens as soon as the rep finalizes the sale on the kiosk — either Save as quote or Create invoice — not once money has changed hands. Does the customer need to log in or type anything to book? No. The kiosk already knows who the customer is from the sales session in progress — they just tap a day and a time. Nothing needs to be typed.
What happens if the customer skips the scheduler or there's nothing open? Nothing is lost. A placeholder estimate appointment already exists on your calendar from checkout, and your team can follow up to schedule it directly. If there are no open slots in the visible window, the kiosk tells the customer your team will call to find a time.
If I add a blackout here, does it affect my public online booking page too? Yes. Blackouts are one shared, shop-wide closure list — a window blocked here is blocked on both the Flat Glass estimator and your main public booking page, not just the kiosk.
What if I haven't set up a bay or installer yet? The customer's booking attempt will fail with a message telling you to add an active resource in Settings → Installers & Bays first, then try again.
