The job tracker gives your customer a live progress page for their vehicle, a bit like a pizza tracker. You check off stages as the work moves along, and the customer's page updates on its own. There's no login or app for them to install.
Setting up stages on a job
- Open the appointment's full page (see Working an appointment: status, photos, film, inspections, linked quote/invoice).
- Find the Job progress card. With no stages yet, it says "No progress stages yet. Pick a template to get started."
- Pick a template:
- Window tint — Car prepped (20%), Windows cleaned (40%), Film cut (60%), Film installed (80%), Final QC (100%)
- PPF / Wrap — Car prep & wash (15%), Panels removed/taped (30%), Film cut to pattern (50%), PPF installed (80%), Final inspection (100%)
- Custom (blank) — starts you with one stage, "Job started" (10%), to build on
The template that matches the job's service is marked Suggested.
Updating progress during the job
- Tap the circle next to a stage to mark it done. Tap again to undo. Each finished stage is stamped with the time.
- Click Add stage to add your own checkpoint. Give it a Stage name and a Percent complete (0–100).
- Hover a stage and click the trash icon to remove it.
The overall percentage is the highest percentage among the stages you've checked off. So if you check off a 60% stage, the job reads 60% done even if an earlier stage isn't ticked.
Sending the link to the customer
Once a job has stages, two buttons show on the Job progress card:
- Text customer — creates the link and texts it to the customer's phone in one step: "Hi [first name]! Track your [shop name] job in real time:" followed by the link. The text also shows up in that customer's conversation in your inbox.
- Share link — just creates the link so you can copy it and send it yourself. Click Copy next to it.
The link is shown as Customer tracking link (expires in 30 days). Each click makes a fresh link.
Text customer won't send if the customer has no phone number, has texted STOP, or your plan or monthly texting allowance doesn't cover the message. You can still use Share link and send it another way.
In the mobile app, open the job and use Set up progress tracking (starts the Window tint stages) and Text tracking link. Changing stages or texting the link from the mobile app needs the Growth plan or higher; on lower plans, do it from the web app.
What the customer sees
The page carries your shop's name, logo, and brand color, and shows:
- A big headline: "Your job is 60% done," "Your vehicle is ready!" when the job is marked Ready, or "Job complete."
- While work is in progress, the stage they're on ("Now: Film installed") and, once at least one stage is done, a rough time remaining based on how fast stages have gone so far.
- A progress bar and the full stage list, with checkmarks and times for finished stages.
- Their vehicle, the scheduled date and time, and your shop phone.
The page refreshes every 30 seconds while the job is active and stops once it's Completed, Canceled, or a No-show. When the job is Completed, a View your photos + leave a review button takes them to their photo gallery.
If a link is more than 30 days old, the customer sees "Link not found. This tracking link may have expired." Send a new one from the job.
Tips
- The customer's headline follows the appointment's status too, so use Mark Ready on the appointment page when the car is ready for pickup.
- If you haven't set up stages, the customer's page says "Your shop hasn't added progress stages yet."
Frequently asked questions
Q: Does the customer need to log in or download an app?
A: No. The link opens the tracking page directly in their phone's browser.
Q: How long does a tracking link work?
A: 30 days from when it was created. After that, send a new one from the Job progress card.
Q: How often does the customer's page update?
A: Every 30 seconds while the job is active, and whenever they come back to the page. It stops once the job is Completed, Canceled, or a No-show.
Q: Why didn't Text customer send?
A: The customer may have no phone number on file or may have texted STOP, or your plan or texting allowance didn't cover it. Use Share link and Copy to send it yourself.
Q: Can I change the stage names or percentages?
A: You can add your own stages with any name and percentage, and remove stages you don't need. Existing stages can't be renamed; remove and re-add instead.
