The Multi-location Schedule is one calendar showing every job across all the shops you have access to. It's built for dispatchers and managers covering more than one location, so you don't have to switch shops and open each calendar separately. Seeing more than one shop here requires the +HQ add-on on the location group your shops belong to.
Who sees it and where to find it
In the sidebar, under Insights & setup, click Multi-location Schedule. If you also see My Locations, it sits right below it.
The link only appears if:
- You're a member of more than one shop, and
- Your role isn't Technician.
If you only have access to one shop, the page says "You only have access to one shop" with a Go to Calendar button.
If your shops' location group doesn't have +HQ yet, you'll see "See every shop's schedule in one view" and an Upgrade to +HQ button instead of the calendar.
Picking which shops to show
Click the Shops button in the top right. It shows how many are selected, for example Shops (3/4).
- Check or uncheck shops under Shown on the schedule.
- Click Select all to show every shop again.
- You can't uncheck the last remaining shop from this list, so the view is never accidentally emptied.
All your shops are shown the first time you open the page.
Moving around the calendar
- Today jumps back to today.
- The left and right arrows go back or forward one day (or one week in Week view).
- The DAY and WEEK toggle switches views. There's no Month view here.
A color key under the toolbar lists each shop in view with its color. Every shop gets its own color automatically; there's nothing to set up.
In Day view, each shop gets its own column, so overlapping jobs at different shops never cover each other. Canceled appointments show faded behind the active ones.
Times are in your own time zone
The schedule uses your device's time zone, not each shop's. If your shops are in different time zones, a 9:00 AM job at a shop one zone away shows at that same moment in your local time.
Looking at a job
Click any appointment to open a details window with:
- The shop name and its color
- Start and end time, date, and a status badge
- Customer name and phone
- Vehicle, service, and assigned installer or bay
- Notes
This window is view-only. To work on the job, click Switch to [shop name] & open. That makes the job's shop your active shop and takes you to its full appointment page. See Working an appointment: status, photos, film, inspections, linked quote/invoice. Click Close to stay where you are.
What this view doesn't do
- No drag-and-drop rescheduling. Switch to the shop and use its own calendar for that.
- No conflict checking between shops. Installers and bays only belong to their own shop.
- No Month view.
For switching shops in general, see Switching between your locations and the HQ dashboard view.
Frequently asked questions
Q: Why don't I see Multi-location Schedule in my sidebar?
A: It only shows for people who belong to more than one shop, and it's hidden for the Technician role.
Q: Why does it ask me to upgrade to +HQ?
A: Viewing more than one shop together requires the +HQ add-on on the location group your shops belong to. Shops outside a +HQ group aren't included.
Q: Why does a phone number say Restricted?
A: Contact info follows each shop's own permissions. If your role at that shop can't view customer contact info, phone numbers for that shop's jobs show as Restricted.
Q: Can I reschedule from this page?
A: No. It's view-only. Click a job, then Switch to [shop name] & open to work on it in that shop.
Q: Which time zone does it use?
A: Your own device's time zone, so every shop's jobs line up on one clock.
