Color labels on calendar appointments

Name colors like Warranty or Rush, put one label on an appointment, and see its color tint the tile in Week, Day and Month. Up to 40 labels per shop.

Color labels are names you give to colors, such as Warranty or Rush. Put one on an appointment and the whole calendar tile takes a light tint of that color. You decide what each label means. An appointment can have one label at a time. Labels are separate from appointment tags.

Where to manage labels

There are two places, and they share one list.

  • Settings → Calendar Color Labels is the full page. Its tile reads "Name colors like Warranty or Cancellation — a label fills the calendar tile." The tile only shows in Settings for owners and admins.
  • Edit labels opens the same list from inside an appointment's popover on the calendar. Owners and admins see it at the bottom of the label picker.

Teammates without that permission can see the list but not change it. They see "Only owners and admins can change the label list."

Adding your first labels

When you have no labels yet, the page shows "Add your first label" and a row of suggested labels: Dealer, Fleet, Rush, Warranty, Mobile and Comeback. Click Add suggested labels to create all six. Nothing is created until you click it, and you can edit or delete any of them afterwards.

To add your own, type a name in the box that reads "New label (e.g. Warranty)" and click Add label. The new label gets a color automatically.

Renaming, recoloring, reordering and deleting

  • Rename: click into the label's name, type the new name, then click away or press Enter.
  • Recolor: click the round color swatch beside the name and pick a color. Along with the lighter shades, the palette has main colors such as blue, green, purple, brown, navy, maroon, forest green and charcoal.
  • Reorder: use the up and down arrows.
  • Delete: click the trash icon. The confirmation reads "Appointments that have this label go back to no label. This can't be undone." After you confirm, a message tells you how many appointments were cleared.

The 40-label limit

A shop can have up to 40 labels. At 40, the button reads 40 labels max and the box says "Label limit reached". Delete one to add another.

Putting a label on an appointment

  1. Open the appointment's popover on the calendar.
  2. Click the Label pill next to the customer response pill. If the appointment already has a label, the pill shows its name. Pick a label from the dropdown, or No label to clear it. Owners and admins also see Edit labels at the bottom of the list.
  3. Pick a label from the Color label list, or pick No label to clear it.

If there are no labels yet, the list says "No labels yet." and owners and admins can click Edit labels to add some.

How labels look on the calendar

A label gives the appointment's whole tile a light tint of its color, and the text stays in the normal color so it's easy to read. The stripe down the left edge of the tile always shows the customer's response, so the two never compete. When the stripe and the label are nearly the same color, the tile gets a thin divider between them.

  • Week and Day: the tile is tinted with the label color. In Week, the job title can wrap onto up to three lines under the time.
  • Month: each row is tinted with the label color and shows the time, then the customer's last name and the job. There is no separate response dot; the stripe carries the response, and hovering a row shows the label and the response in its tooltip.

Open the calendar's Legend to see your labels. They are listed first, under Color labels — fill, in every color mode. See Color-coding the calendar by customer, installer, response or tag.
