Color-coding the calendar by customer, installer, response or tag

Switch the calendar between Customer, Installer, Response, Tag and None colors, read the Legend, and change what each customer response color looks like.

The Schedules calendar can color every appointment by who it's for, who is doing the work, what the customer said, or which tags it carries. Pick the mode that answers the question you're asking, then use the Legend to read the colors.

Switching color modes

On Schedules, the toolbar has five buttons: Customer, Installer, Response, Tag and None. On narrower screens only the icons show; hover one to see "Color-code appointments by ...". The mode applies to the Day, Week and Month views, and the New Appointment page's day list follows it too.

Your choice is saved in your browser, so it's yours alone and it's per device. The first time you open the calendar it starts on Customer.

What each mode shows

  • Customer: each appointment takes its customer's calendar color. Customers without a picked color share the standard blue. Set one in the customer's Edit customer dialog, under Calendar color.
  • Installer: each appointment takes its installer or bay's color, set in Settings → Installers & Bays (see Managing installers and bays). Resources without a color show the standard blue.
  • Response: the color shows what the customer has said about the booking (see below).
  • Tag: the color of the appointment's top-ranked tag. See Color-coding appointments with tags.
  • None: every appointment is the same neutral gray.

The Legend

The Legend button next to the mode buttons explains the colors for the mode you're in.

In Customer mode it lists "Customers on screen" with a picked color, plus a "Standard color (none picked)" row, and links to Open a customer to set a custom color. In Installer mode it lists "Installer & bay colors" with a Customize colors link. In None mode it's dimmed, and hovering shows "Color-coding is off".

Response mode and customer response colors

Every appointment carries one customer response: No response, Confirmed, Declined, Reschedule requested or No show. Out of the box, No response uses the standard blue, Confirmed is green, Declined is red, Reschedule requested is amber and No show is violet.

To record a response, open the appointment's Quick View and use the dropdown at the bottom left. It reads "Customer: No response" until you change it, and it takes on the color of whatever you pick. Choosing Reschedule requested opens the Reschedule window straight away. See Using the calendar: Day/Week/Month views and drag-to-reschedule.

Nothing sets the response for you. Someone on your team picks it, for example after a phone call.

In the Month grid, every appointment row also shows a small dot in its response color, whichever mode you're in. Hover the dot to see the label.

Changing the response colors

  1. Go to Settings → Notifications and scroll to the Customer response colors card. The Legend's Customize colors link in Response mode opens the same page.
  2. Click a swatch beside No response, Confirmed, Declined or Reschedule requested and pick a color.
  3. Click Save colors. A "Saved" note appears.

Reset to defaults clears your changes and saves right away. The colors are shared by the whole shop, so everyone sees the same ones in Response mode, the Legend, the Month dots and the Quick View dropdown.

Frequently asked questions

Q: Does switching color mode change what my teammates see?

A: No. The mode is remembered in your own browser. Each person picks their own.

Q: Why are all my appointments the same blue?

A: In Customer or Installer mode, anything without a picked color uses the standard blue. Pick colors for your customers or installers, or switch to Response or Tag mode.

Q: Does the customer's reply update the response automatically?

A: No. A person on your team sets it from the appointment's Quick View.

Q: Where do I change what the colors mean?

A: Response colors live in Settings, Notifications, Customer response colors. Installer colors are in Installers and Bays, customer colors are in each customer's Edit dialog, and tag colors are in Appointment Tags.
