Your SalesThumb appointments live in SalesThumb by default — nothing pushes them anywhere else until you turn one of two features on. Both are real, both ship today, and they solve different problems: one puts *your own* assigned jobs on *your own* Google Calendar; the other publishes the *whole shop's* schedule as a link any calendar app can subscribe to.
The two options, in one line each
- Connect your own Google Calendar (Profile → My Calendar) — only appointments assigned to you, pushed automatically into your personal Google account.
- Subscribe to a Calendar Subscription Feed (Settings → Integrations) — every appointment at your shop, published as a link your calendar app (Google, Apple Calendar, or Outlook) can subscribe to.
If you want your own jobs next to your personal life on your phone, use the first one. If you want a read-only view of the whole shop's board in an outside calendar app, use the second.
Option 1 — Connect your own Google Calendar
This is per-person: each staff member connects their *own* Google account, and it only ever affects that person's calendar.
Where to find it: click your account menu (top right) → Profile → the My Calendar card → Google Calendar → Connect Google Calendar. That sends you through Google's sign-in and permission screen; once you approve it, you land back on Profile → My Calendar, connected.
What actually syncs:
- Only appointments where *you* are the assigned bay or installer — not the shop's full schedule.
- One-way: SalesThumb → Google. Creating, rescheduling, or canceling an appointment in SalesThumb updates the matching event on your Google Calendar. Editing or deleting that event directly in Google doesn't change anything back in SalesThumb.
- Syncing runs in the background automatically — once you're connected, you don't need to do anything for new or changed appointments to show up.
Statuses you might see on the My Calendar page:
- Connected — working; shows the Google account email and a "last synced" time.
- Not connected — you haven't connected yet.
- Reconnect needed — Google stopped accepting the connection (this can happen after a password change or a revoked app permission on Google's side). Click Reconnect and sign in through Google again.
- Not configured yet (button disabled) — SalesThumb's Google Calendar connection hasn't been turned on for your shop at the platform level. This isn't something you can fix from your account — contact your shop admin or info@roffik.com.
Disconnecting: same page, Disconnect button. This only removes the connection — it doesn't touch events already on your Google Calendar, and it has no effect on anyone else's connection.
If you're a manager: the Employee Schedule page shows a small calendar badge on each teammate's photo indicating whether their Google Calendar is connected (and whether a connection needs reconnecting), so you can see who's synced without asking around.
Option 2 — Subscribe to a Calendar Subscription Feed
This one is shop-wide, not personal — worth knowing before you set it up expecting only your own jobs.
Where to find it: Settings → Integrations, scroll to the Calendar Subscription Feeds card, click Create Feed. That generates a private URL (`.../api/ical/{token}`). Click the copy icon next to it, then add that URL as a calendar subscription in Google Calendar, Apple Calendar, or Outlook — each app has its own "Subscribe" or "Add calendar by URL" option; SalesThumb only needs the link.
What's actually in the feed:
- Every appointment at your shop, not filtered to any one staff member — regardless of who created the feed or who's assigned. If you only want your own jobs, use Option 1 instead.
- One-way and read-only: your calendar app displays SalesThumb's schedule; nothing you do in Google, Apple Calendar, or Outlook writes back to SalesThumb.
- A rolling window — roughly 90 days back through a year ahead — so very old or far-future appointments won't appear.
- Each event includes the service, the assigned resource, status, and any appointment notes.
A few things worth knowing:
- Every feed you create is labeled "My Calendar" by default — there's no rename option, so if you create more than one you'll need to tell them apart by when you made them or by which URL you copied where.
- The link itself is the only thing protecting it — anyone with the URL can view your shop's appointment feed without logging in. Treat it like a password; don't post it anywhere public.
- Calendar apps re-check a subscribed feed on their own schedule, typically every few hours rather than instantly — don't expect the same near-real-time behavior you get from Option 1's Google Calendar connection.
Turning one off: same card, click the trash icon next to the feed. The link stops working immediately — your calendar app will show it as unavailable on its next refresh.
Which one should you actually use?
- You use Google and just want your own assigned jobs on your phone → Option 1 (My Calendar). Automatic once connected, and it only shows your work.
- You use Apple Calendar or Outlook, or you want a read-only view of the entire shop's schedule → Option 2 (Calendar Subscription Feed).
- You want both → nothing stops you. They're independent and don't conflict.
What this doesn't do
Neither option reads anything back into SalesThumb. If you block time on your personal Google Calendar, SalesThumb has no way to know about it — the scheduler doesn't treat that block as unavailable, so you can still get booked over it. If overlapping bookings are the actual problem you're trying to solve, see Calendar conflicts — fixing double-bookings for how to set your real working hours and time off *inside* SalesThumb, which is what the scheduler actually checks against.

Frequently asked questions
Q: Will an event I edit in Google Calendar update my SalesThumb appointment?
A: No. Both sync options are one-way, from SalesThumb to your calendar app only. Changing or deleting the event in Google, Apple Calendar, or Outlook has no effect on the appointment in SalesThumb — reschedule or cancel it in SalesThumb instead.
Q: I connected my Google Calendar but I don't see all of the shop's appointments — is something broken?
A: No, that's expected. Connecting your own Google Calendar under Profile → My Calendar only syncs appointments where you're the assigned bay or installer, not the whole shop's schedule. For a view of every appointment at your shop, use a Calendar Subscription Feed instead (Settings → Integrations).
Q: The calendar feed shows other people's appointments, not just mine — is that a bug?
A: No — a Calendar Subscription Feed (Settings → Integrations → Calendar Subscription Feeds) is shop-wide by design. It publishes every appointment at your shop, regardless of who created the feed or who's assigned. If you want a feed of only your own jobs, connect your personal Google Calendar under Profile → My Calendar instead.
Q: The "Connect Google Calendar" button is grayed out and says "Not configured yet" — what do I do?
A: That means SalesThumb's Google Calendar connection hasn't been turned on for your shop at the platform level yet. It isn't something you can fix from your own account — contact your shop admin or info@roffik.com.
Q: How do I stop appointments from syncing?
A: For your personal Google Calendar connection, go to Profile → My Calendar and click Disconnect — it removes the connection without touching events already on your calendar. For a subscription feed, go to Settings → Integrations → Calendar Subscription Feeds and click the trash icon next to the feed; the link stops working immediately.
