Where to find it
Workflow has its own entry in the left sidebar, under "Customer flow" between Schedules and Team Hub — click Workflow to land on `/app/workflow`. It used to live as a tab inside the Schedules page; it was promoted to a standalone sidebar link so the pipeline is one click away from anywhere, and Schedules kept just Calendar and the technician queue. If your shop hasn't set up a board yet, you'll see a one-button empty state — Create default pipeline — which builds six starter columns (New Leads → Quoted → Follow Up → Scheduled → In Progress → Completed) that you can rename, recolor, or delete afterward.
Reading a quote card
Each card shows the quote number (or "Draft" if it hasn't been finalized), the total in the top-right corner, the customer's name and initials avatar, the vehicle if one's attached, and a status badge (Draft, Sent, Viewed, Approved, Converted, Declined, or Expired) plus how long ago the quote was created. If an invoice is tied to the quote, a small strip shows the invoice status and either the outstanding balance ("$X due") or "Paid" once it's settled. Clicking anywhere on a card opens that quote's detail page — worth knowing, because the same card is also the drag handle described below.
Moving quotes between columns
Drag a card to another column to move the quote through your pipeline — there's no separate grip icon on quote cards, the whole card is the drag surface. There's an 8-pixel movement threshold under the hood: a light click opens the quote, while an actual drag past that distance moves it, so if a click keeps opening the quote instead of moving it, you need to drag further before releasing. Moves look instant because the column updates locally before the server confirms it; if the save fails, the card snaps back to where it started and a toast tells you the move didn't go through, so an occasional card that appears to "undo" itself a moment later is that rollback, not a glitch. Quote cards can't be dropped into the Online Bookings lane — it doesn't accept drags.
Online Bookings, Unassigned, and column layout
The Online Bookings column isn't a real workflow column — it's a synthetic lane showing customers who booked themselves through your online booking link. Cards there are read-only; clicking one opens the appointment on the calendar, not a quote. Bookings created in the last 24 hours are flagged "New," older ones say "Online," and a sprout-icon button lets you seed sample bookings to see how the lane looks before you're getting real ones. Any quote that isn't currently in a column — most often because you deleted the column it was sitting in — shows up under the Unassigned counter in the header, which expands into a tray you drag cards out of into a real column; deleting a column never deletes its quotes.
Columns (Online Bookings included) can be reordered by dragging the small grip handle that fades in on hover at the far right of each column header — dragging the header itself does nothing, and dragging a quote card onto a header moves the quote into that column instead of reordering anything. That column order saves to your browser's local storage, so it's a per-device preference that won't follow you to another computer. Customize Columns, the icon tile at the end of the board, is where you rename a column, pick from ten preset colors, flag it Terminal, or delete it (delete requires a two-step Delete → Confirm) — those changes do sync shop-wide. The Terminal flag matters beyond the checkmark icon it adds: it's what decides whether a column's quotes count as "Closed Won" or still count as open pipeline in the stats above the board, so set it deliberately on any custom column you add.
Pipeline stats and role visibility
Owners, admins, and managers see four dollar chips above the board — Pipeline, A/R, Collected, and Closed Won — plus a date-range picker (Today, This week, This month, Last 30/90 days, Year to date, Last 12 months). Pipeline totals quotes in non-terminal columns plus any quotes currently sitting in the Unassigned tray, Closed Won totals quotes in terminal columns, and A/R and Collected split each invoiced quote's total into what's still owed versus what's already been paid. Front-desk and technician roles don't get the stat chips or the range picker at all — their view is locked to "Today" regardless of whatever range a manager last selected, so a technician's board won't inherit a manager's saved "Year to date" view. The board itself refreshes automatically every 30 seconds, so a card a teammate just moved will show up without a reload.
