The Leads hub is where your front counter captures new leads, follows up, and books them in. The Board, List and Lost views (and the lead panel that opens when you click a lead) are Growth-plan features (Growth and Pro). The Scheduled view works on every plan.
Where to find it
In the sidebar, under Customer flow, click Leads. You can also press Cmd+Shift+K (or Ctrl+Shift+K on Windows) and type "leads".
At the top you'll see Leads with a count, a Search leads… box, and four views: Board, List, Scheduled and Lost. On Growth the hub opens on Board; on other plans it opens on Scheduled, and clicking Board shows an upgrade card instead.
Two keyboard shortcuts work anywhere on the page (when you're not typing in a box): / jumps to search, and N opens New lead.
Adding a lead by hand
For a walk-in or a phone call:
- Click New lead (or the + at the top of a Board column to drop it straight into that stage).
- Fill in First name, Last name, Phone and Email. A phone number or email is required.
- Add Interested in, Vehicle and an optional Note.
- Click Add lead.
If the phone or email matches someone already in your customers, SalesThumb offers to add the lead to their existing record instead of creating a duplicate. Click the matching customer to use it.
Leads also arrive on their own from your lead forms, calls, texts, ads and chat. Who they get assigned to is set under Settings → Leads.
Setting up the board
The first time you open Board, you may see a Set up board button. Click it and SalesThumb adds stages like New Leads, Quoted, Follow Up and Scheduled. You can rename or recolor them anytime from the Workflow board (see Managing quotes on the Workflow kanban board).
Working the Board and List
Each lead card shows the name, phone, where the lead came from, what they're interested in, their vehicle, the owner's initials, and when they were last touched. A colored chip tells you what needs attention:
- Waiting on you · 12m: they messaged and nobody has replied yet. It turns red after an hour (Waiting 3h, Waiting 2d).
- Missed call · call back: their last contact was a call nobody answered.
- Quiet for 4d: nothing has happened for a while and nothing is planned.
- Follow-up due or Follow-up overdue: a follow-up you set.
Hover a card for quick buttons to call, log a call, text, email or schedule. To move a lead to another stage, drag the card to a new column. Dropping a card on a Scheduled or Booked style column opens the scheduler instead of just moving it.
The List view shows the same open leads as a table with Lead, Source, Stage, Last touch, Next and Created columns. Click a column header to sort.
Above both views you can filter by source (for example "All", "Missed call") and turn on two quick filters: Needs a reply and My leads.
Opening a lead
Click any lead to open its panel. From there you can:
- Use Quick actions: Call, Log a call, Text, Email, Note and Follow up.
- Change the owner, add notes, and read the Activity timeline.
- Click Build quote to start a quote for this lead.
To log a call, click Log a call, pick how it went, add an optional note under "What did you talk about?", and click Save. "Reached" and "Left voicemail" count as a reply, so the lead drops out of Needs a reply. "No answer" and "Wrong number" don't.
To set a follow-up, click Follow up and pick Tomorrow, In 3 days, Next week, or a date of your own.
Booking a visit
- In the lead panel, click Schedule a visit (or the schedule button on the card).
- Pick a Service (or "No service (consultation)"), and optionally an Installer and Bay.
- Pick a day from the strip, then an open time. You can also click Pick a custom time.
- Leave Send a booking confirmation on if you want the customer notified.
- Click Confirm.
Booking a visit marks the lead won. It moves to the Converted · 14 days column at the end of the Board. If a lead was already booked some other way, its card shows the booked time with a Mark won button.
Marking a lead lost
In the lead panel, click Mark lost, type a Reason (for example "Went with another shop"), and click Mark lost. Nobody is notified.
The Lost view lists lost leads for the last 30 days, 90 days or 365 days, with the reason for each and a Top reasons summary. Click Reopen to put a lead back into follow-up.
The Scheduled view
Scheduled pulls together every open lead your shop is tracking, from your leads, the Workflow board, the Flat Glass inbox and the Customer Pipeline. The top line shows how many are scheduled and how many still need a visit booked. Each row shows Source, Customer, Vehicle / Building, Stage, Scheduled (or "Not scheduled") and Installer. Use the All, Leads, Workflow, Flat Glass and Pipeline buttons to filter, and click View to open a row.
Frequently asked questions
Q: Why can't I see the New lead button or drag cards?
A: Adding, moving, marking won and logging calls need permission to manage leads. Without it you can still view leads, open the panel, add notes, text and schedule. Ask your shop owner to update your role.
Q: Why does Board show an upgrade card?
A: Board, List and Lost are part of the Growth plan. The Scheduled view works on every plan.
Q: What happens to a lead when I book it?
A: Booking a visit from the lead marks it won, and it shows in the Converted column for 14 days. It also stays on the Scheduled view while the visit is still ahead.
Q: Can I bring back a lead I marked lost?
A: Yes. Open the Lost view (or the lead panel) and click Reopen. The lead goes back into follow-up.
