The top of the Customers tab has a search box, a few filters and a sort. You can save any combination as a view and get back to it in one click, for example "My fleet accounts". This article covers those controls. For the table itself, see Using the Customers page.
The filters and sort
Above the table you'll find:
- Search customers...: filters as you type.
- My customers: shows only customers whose account owner is you. Click it again to turn it off.
- All locations: also shows customers from other locations in your organization, with a Shop column. It only works when your HQ has turned on Share customers under Data Sharing. Otherwise it changes nothing.
- Fleet filter: choose All accounts, Fleet accounts or Non-fleet.
- Sort: choose Newest first, Last name (A–Z) or Top spend. Top spend ranks by the net payments a customer has paid.
If nothing matches, the page says so and offers Clear filters. That button clears the search, My customers and the fleet filter.
Saving a view
- Set the search, filters and sort the way you want them.
- Click the Views button (the bookmark icon) next to the sort.
- Click Save current view as new….
- Type a Name, for example "My fleet accounts". Names can be up to 80 characters.
- Click Save view.
A view remembers five things: the search text, My customers, All locations, the fleet filter and the sort. "My customers" always means the person applying the view, not whoever saved it.
Using and changing a view
Click Views and pick one from the list. The menu groups them under My views and Shared with this location. Each shows a Private or Shared tag, and a teammate's view shows "by" and their name.
Once a view is applied, its name replaces Views on the button. If you change a filter afterwards, the button adds (edited). From the menu you can then:
- Update "name" with current filters to save your changes.
- Rename or change sharing… to change its name or who can see it.
- Delete "name"… to remove it, after a confirmation.
You can only have one view with a given name. Saving a duplicate name shows an error.
Sharing a view with your location
New views are private. In the save or rename box, tick Share with everyone at this location so teammates can apply it. Sharing needs the permission to manage customers. Teammates can use a shared view, but only its owner and people who can manage customers can change or delete it.
Things to know
- Saved views belong to one location. If you're viewing a location you aren't a member of, the menu says saved views are for members, and you can still search, filter and sort.
- Applying a view replaces your current search and filters.
- To act on customers you've filtered, see Account owners and bulk actions.
Frequently asked questions
Q: What does a saved view remember?
A: The search text, My customers, All locations, the fleet filter and the sort. It doesn't remember which rows you ticked or how many pages you loaded.
Q: Can my teammates use a view I saved?
A: Only if you share it. Tick Share with everyone at this location when you save or rename it. Sharing needs the permission to manage customers.
Q: Why does All locations show nothing extra?
A: It only adds other locations' customers when your HQ has turned on Share customers under Data Sharing. Otherwise it shows just this location.
Q: Why does the Views button say (edited)?
A: You changed a filter, search or sort after applying a saved view. Use Update with current filters to save the change.
