Customer tasks, follow-ups and the My Tasks card

Add a follow-up reminder to a customer's profile, assign it to a teammate, and find your own tasks on the dashboard.

4 min read

A customer task is a reminder tied to one customer, such as "call about the ceramic upsell" or "follow up on the deposit". You add it on the customer's profile, and the person it's assigned to sees it in the My Tasks card on the dashboard.

Adding a task

  1. Open a customer's profile and find the Tasks & follow-ups card.
  2. Type the reminder in Add a follow-up….
  3. Optionally pick a due date, a teammate, and a vehicle.
  4. Click Add (or press Enter).

The teammate dropdown starts on Unassigned. The vehicle dropdown only appears if the customer has vehicles, and starts on No vehicle. A due date counts as the end of that day, so a task is only overdue after the day has passed.

Working the list

Each open task shows its title, due date, the assignee and the vehicle. A task past its due date turns red and reads overdue. Tick the box to mark it done. Use the bin icon, Delete task, to remove it.

The card only lists open tasks. When you tick one, it drops off the list. If nothing is open, it says "No open tasks for this customer."

The My Tasks card

The dashboard has a My Tasks card for the follow-ups assigned to you. The badge shows the total. Overdue tasks come first, oldest first, then your next five upcoming tasks. Tasks without a due date appear after the dated ones.

Each row has a Mark done box and the title, which opens the customer. When there's nothing left, the card says "You're all caught up".

Who can use tasks

Tasks need the permission to manage customers: owners, admins, managers, front desk and service writers by default. Technicians don't see the card or the tasks, even ones assigned to them. Without permission, the profile card says you can't view tasks for this customer.

Things to know

  • My Tasks only shows tasks assigned to you. An unassigned task shows on the customer's profile but not on anyone's dashboard, so assign it if someone should be reminded.
  • Tasks don't send an email or text. They're a to-do list you check.
  • To see a customer's other history, read Reading a customer's profile page.

Frequently asked questions

Q: Why don't I see my task on the My Tasks card?

A: My Tasks only lists tasks assigned to you. If you added a task and left it Unassigned, it shows on the customer's profile but not on the dashboard.

Q: Do tasks send me a reminder?

A: No. Tasks don't send texts or emails. They show on the customer's profile and in the My Tasks card.

Q: Where did my completed task go?

A: The Tasks & follow-ups card lists open tasks only. Ticking a task marks it done and it leaves the list.

Q: Can technicians use customer tasks?

A: No. Tasks need the permission to manage customers, which technicians don't have by default.
