Getting alerts for new leads and leads nobody has answered

Turn on email and app alerts for new leads, and for leads that wait 15 minutes without a reply, from Settings → Notifications.

5 min read

The New lead alerts card in Settings → Notifications lets you hear about leads without watching the Leads page. It has two switches. Each person sets their own, and the alerts go by email and by push notification in the SalesThumb app. They are never sent by text.

Where to find it

Go to Settings → Notifications and find the New lead alerts card. It shows for the roles that work leads: owners, admins, managers, service writers and front desk. Technicians don't see it.

Lead alerts come with the Leads hub and Workflow board, which are Growth-plan features. On a lower plan both switches are off and can't be turned on, and the card explains that new leads go to your Customer Pipeline instead.

Alert me when a new lead comes in

Turn on Alert me when a new lead comes in to get an email, plus a push notification if you use the app, each time a new lead is captured. The alert shows the lead's name, how to reach them and where they came from, with a link that opens the lead.

This switch starts on for owners and off for everyone else, so other roles opt in themselves. If your role can't view customer contact info, the alert leaves out the phone number and email.

To stop a flood of junk leads filling your inbox, alerts are limited per source to about ten an hour. The leads themselves still land in the Leads hub.

Alert me when a lead waits 15 minutes for a reply

Turn on Alert me when a lead waits 15 minutes for a reply to be told when a new lead sits unanswered. After 15 minutes of your business hours with no reply, SalesThumb emails the lead's owner, or the shop owner if the lead has none. It adds a push notification if that person uses the app. Each lead triggers it once.

This switch starts on for owners, admins, managers, service writers and front desk. What counts as a reply:

  • A text or email a team member sent that actually went out.
  • A logged call with the outcome Reached or Left voicemail.
  • Moving the lead to Contacted or Quote sent by hand.

Automatic messages don't count. Leads someone on your team added by hand, and online bookings, don't trigger it because nobody is waiting on an answer.

If several leads are waiting at once, you get a few individual alerts and then one summary saying how many more are waiting. It links to the Leads hub filtered to Needs a reply. A lead that came due while your switch was off isn't alerted later.

Two other messages use this switch

The same switch also controls:

  • New lead assigned to you: sent to a rep when "round robin" lead assignment gives them a lead. See Auto-assigning new leads to your team.
  • Online booking not finished: sent when someone books online but doesn't pay the deposit, so their held time is released and the lead is still open.

Things to know

  • Your switches only affect you. Teammates keep their own.
  • Turning a switch on or off shows a short confirmation message.
  • To see how fast your team really answers, read the Lead Funnel report. To work the leads, see the Leads hub.

A: Owners, admins, managers, service writers and front desk. Technicians don't see it.

Q: Why are the lead alert switches off and greyed out?

A: Lead alerts come with the Leads hub and Workflow board, which are Growth-plan features. On a lower plan the switches stay off.

Q: Are lead alerts sent by text message?

A: No. Both lead alerts go by email and by push notification in the SalesThumb app only.

Q: Who gets the 15-minute alert?

A: The lead's owner if it has one, otherwise the shop owner. It is sent once per lead.
