Reading the Lead Funnel report

See how many leads you won, lost or still have open, where they came from, how fast your team replied, and how long open leads have been waiting.

5 min read

The Lead Funnel report looks at the leads that came into your Leads hub during the dates you pick. It shows how many you won, lost and still have open, where they came from, how quickly your team replied, and how long today's open leads have been waiting.

It's part of the Leads hub, so it needs the Growth plan or above. Below Growth you'll see an upgrade card in its place. You also need permission to view financial reports, which owners, admins and managers have by default.

Where to find it

Open Reports, find the Sales group and click Lead Funnel. Depending on your role, the Leads hub header also has a Reports button that jumps straight to it.

Set the date range at the top, the same way as any other report. See Finding a report and setting the date range.

The summary tiles

The first row counts leads created in your date range:

  • Leads: every lead created in the period.
  • Won: leads that were booked.
  • Lost: leads marked lost.
  • Still open: leads that are neither won nor lost.
  • Win rate: won divided by won plus lost. It shows a dash until at least one lead has closed.
  • Booked rate: the share of leads that have a booking linked to them. The tile also shows how many leads had a booking.

Speed to lead

This row measures how fast your team answered. The clock runs from when the lead came in to the first text or email a team member sent that actually went out. A logged call counts too, if its outcome was Reached or Left voicemail. No answer and Wrong number don't count.

Automatic replies, missed-call text-backs and failed sends don't count either. The tiles are:

  • Median first reply: the middle response time.
  • 90% replied within: nine in ten answered leads got their first reply within this time.
  • Replied: how many leads got a reply.
  • No reply yet: how many customer-started leads still have none.

Times read like <1m, 12m, 3h 5m or 2d 4h. Leads that someone on your team added by hand, or that came from an online booking, are left out because nobody was waiting on a reply. The No reply yet tile tells you how many were skipped.

By source and by campaign

By source lists each place your leads came from, biggest first, with columns for Leads, Won, Lost, Open, Win rate and Booked. The Win rate and Booked columns are percentages. If you have a long list of sources, the table shows the top ones and says so.

By campaign groups leads by the campaign tags on the link they arrived through (the UTM source and campaign), shown as "source / campaign". Leads with no campaign tags are grouped in a No campaign row at the top.

Lost reasons

This section shows the reasons your team picked when marking leads lost, with a bar and a count for each. Leads lost without a reason appear as No reason given. If more reasons exist than fit, a line underneath says how many leads were lost for other reasons.

Open leads right now

The bar at the bottom ignores your date range. It counts every lead that is open today, grouped by days since its last touch: 0–1 day, 1–3 days, 3–7 days and 7+ days. A lead's last touch is when it came in, or the last time the customer asked again.

Things to know

  • A lead is counted in the period it was created, and its Won, Lost or Open status is shown as it is now.
  • If your role can't view customer contact info, phone numbers and emails typed into lost reasons or campaign names are hidden.
  • To act on a lead, open the Leads hub. This report is read-only.
  • For where lead sources come from, see Lead source tracking.

Frequently asked questions

Q: Why is my Win rate a dash?

A: No lead created in the period has been marked won or lost yet. The rate needs at least one closed lead to work out.

Q: Why does a reply from an automation not count in Speed to lead?

A: The report only counts a text or email a team member sent that went out, or a logged call that reached the customer or left a voicemail. Automatic replies, missed-call text-backs and failed sends are ignored.

Q: Why do I see an upgrade card instead of the report?

A: Lead Funnel comes with the Leads hub, which is a Growth-plan feature. Shops on lower plans see an upgrade card.

Q: Does the Open leads bar change with my date range?

A: No. It always shows every lead that is open today, grouped by how long since its last touch.
