Custom Reports is a quick pivot tool. You pick what to look at (invoices, appointments or customers), how to group it, and what to measure, and you get a table with a bar for each row. Save the combinations you use most so they're one click away, or export the table to CSV. It's for owners and managers. No plan upgrade is needed, but you do need the "View financial reports" permission (Owner, Admin and Manager have it by default).
Getting there
Open /app/reports/custom in your browser. The page is titled Build a custom report. You can also get there from the Report Builder page, using the Looking for the raw pivot builder instead? link. The Reports list stays down the left side so you can jump back to any other report.
If you don't have the permission, the page says so and points you to Settings → Team → Permissions, where an owner or admin can grant it.
Building a report
The Report builder card has four controls. The table underneath updates as soon as you change one.
- Source — Invoices, Appointments, or Customers.
- Group by — the options depend on the source:
- Invoices: Status, Day, or Month
- Appointments: Status, Day, or Source
- Customers: Source or Day
- Metric — Count for every source. Invoices also offer Total ($), which adds up invoice totals.
- Lookback — 7d, 30d, 90d, 180d, or 365d.
If you switch the source and your current grouping or metric doesn't apply to it, the page picks the first valid option for you.
The results card is titled after your choices (for example "Invoices by status") with the metric and window underneath. Here's what each source counts:
- Invoices are counted by the date the invoice was created.
- Appointments are counted by their start time, and only ones that have already started. Upcoming bookings don't show up in a "last N days" window.
- Customers are counted by the date they were added.
If nothing matches, you'll see "No data in this window."
Saving a report
- Set up the source, grouping, metric and lookback you want.
- Click Save report.
- Enter a Name (for example "Monthly revenue by status"). You can add an emoji in Icon (optional).
- Click Save report in the dialog.
Your saved report appears as a chip in the Saved reports card at the top of the page. Click a chip to load its settings. Hover over it to see the source, grouping, metric and window it uses.
Good to know:
- A saved report stores the lookback length, not fixed dates. "Last 30 days" always means the 30 days before today.
- Saved reports belong to the shop, so anyone who can open this page sees them.
- There's no edit button. To change one, load it, adjust it, save it under a new name, and delete the old one.
- A chip with a warning icon has settings that are no longer valid. It can't be loaded, but you can still delete it.
Deleting a saved report
Hover over the chip and click the small trash icon, then confirm Delete. This can't be undone.
Exporting to CSV
Click Export CSV to download the table you're looking at. The file has two columns: the grouping (for example Status or Day) and the metric. Totals are formatted as dollars. The button is greyed out when there's nothing in the table.
For a report built from a list of business numbers like revenue, tips, gross profit and technician breakdowns, see Building your own report with Metrics Builder. For the other reports that can be exported, see Which reports you can export to CSV, and how.
Frequently asked questions
Q: Why don't upcoming appointments show up?
A: Appointments are counted by start time, and only ones that have already started are included. Future bookings fall outside a "last N days" window.
Q: Can I total appointments or customers in dollars?
A: No. Total ($) is only offered for Invoices, where it adds up invoice totals. Appointments and Customers can only be counted.
Q: Can I edit a saved report?
A: Not in place. Load it, change the settings, save it under a new name, and delete the old one.
Q: Who can see my saved reports?
A: Everyone at your shop who can open Custom Reports, meaning anyone with the View financial reports permission. Saved reports belong to the shop, not to one person.
Q: What's in the CSV export?
A: Two columns: the grouping you picked and the metric value, matching the table on screen. Invoice totals are formatted as dollars.
