The Waitlist screen in the mobile app lets you fill a cancelled slot without leaving the shop floor. You can see everyone waiting, tell a customer an opening came up, book them in, or take them off the list. It's the phone version of the web Waitlist page, described in How the Waitlist page works.
To open it, tap the round thumb button at the bottom of the screen, then Waitlist under Sales. It's there for people with Sales access or manager access in the mobile app. Anyone else sees "Waitlist access needed."
Reading an entry
The line under the top bar reads like "2 waiting · 1 other". Each card shows:
- The customer's name and phone number.
- A Waiting pill, or Offered with how long ago you notified them.
- Their vehicle and the service they wanted, when those are on file.
- Their preferred dates, or Flexible.
- Any notes, and how long ago they were added.
Notifying a customer
- Tap Notify on a waiting entry.
- Confirm. The app warns that the customer will get a text, or an email, that an opening just came up, and the entry moves to Offered.
- A message tells you how it went: texted, emailed because there was no textable phone, or "No phone or email on file" so you need to reach out yourself.
Only entries that are still waiting have a Notify button.
Booking and removing
Tap Book to open New Appointment with that customer already selected. Tap Remove and confirm to take them off the list.
Adding a walk-in
- Tap + Add at the top right.
- Search by name, phone or email and tap the customer. If they're new, tap New customer, save them, and you come back with them selected.
- Add notes if you want, for example the service and days they prefer.
- Tap Add to Waitlist.
Entries added here are saved with flexible dates. Tap Close to hide the panel without adding anyone.
When the list is empty
The screen says "Nobody waiting — share your booking link" and offers an Open booking link button. See Sharing your booking link from the mobile app.
Frequently asked questions
Q: Why can't I find Waitlist in my menu?
A: It shows for people with Sales access or manager access in the mobile app. Installer-only access doesn't include it.
Q: What does Notify actually send?
A: A text telling the customer an opening came up. If there's no textable phone, it sends an email instead. If there's neither, the app tells you to reach out yourself.
Q: Can I notify the same person twice?
A: Not from the entry. Once it shows Offered, the Notify button is gone. You can still tap Book or Remove.
Q: Does Book add the customer to the calendar for me?
A: It opens New Appointment with the customer selected. You still pick the details and save the appointment.
