Tracking balances and overdue invoices on your phone

See what's still owed on the mobile Invoices list, filter to overdue invoices, and tap into one to collect payment.

3 min read

The Invoices list in the SalesThumb mobile app shows every invoice with what's still owed on it. A total at the top tells you how much money is outstanding, and the Overdue filter shows the invoices that are past their due date. Tap an invoice to open it and collect payment.

Opening Invoices

On the Quotes tab, tap Invoices in the switch at the top. Invoices is part of the Sales side of the app, so you need Sales access, the same as for quotes.

Searching and filtering

  • Type in Search number or customer… to find an invoice by its number or the customer's name.
  • Tap the Status filter to pick All, Draft, Sent, Overdue, Partial, Paid, Void or Refunded.

Each card shows the invoice number, its status, the customer, the vehicle, the total and the date. If money is still owed, you'll see the amount followed by "due". A paid invoice says "Paid in full".

Outstanding and overdue balances

With the filter on All and nothing in the search box, an Outstanding balance card at the top shows the total still owed across your invoices. With the filter on Overdue, an Overdue balance card shows what the overdue invoices still owe.

What counts as overdue

An invoice is overdue when it's Sent or Partial, still has a balance, and its due date is before today in your shop's time zone. Overdue isn't a separate status. It's shown with an Overdue pill. A Sent invoice that's overdue shows only the Overdue pill, and a Partial one shows both Partial and Overdue.

Creating an invoice

If you can create invoices, an Invoice button sits next to the round thumb button. It opens the invoice builder for walk-in sales that never had a quote. See Quoting, invoicing and booking from your phone. To collect money on an invoice, see Taking payment on an invoice from your phone.

Frequently asked questions

Q: When does an invoice show as Overdue?

A: When it's Sent or Partial, still has a balance, and its due date has passed in your shop's time zone. An invoice with no due date is never overdue.

Q: Why don't I see the Outstanding balance card?

A: It only shows with the Status filter on All and the search box empty, and only when something is still owed.
