Sales staff and managers can build a quote, ring up an invoice, or book a job straight from the SalesThumb mobile app, without going back to a computer. Each one is a short step-by-step form that starts with the customer. Quotes, invoices and booking are included on every plan.
Where the create buttons are
The app has one create button, docked next to the round thumb button at the bottom of the screen. What it does depends on the screen you're on:
- On the Quotes tab it reads Quote and opens New Quote.
- On Invoices (switch to it with the Quotes | Invoices toggle at the top of the Quotes tab) it reads Invoice and opens New Invoice.
- On the Schedule tab's Jobs view it reads Book and opens New Appointment.
You can also open a customer's page and tap Quote or Book to start with that customer already picked, or tap the thumb button and choose New Appointment under Sales in the Go to menu.
Who can create what
- Quotes and invoices need Sales access in the app plus permission to manage pricing. Owners, admins and managers have pricing permission by default. If you're missing either one, the create button doesn't show, and the form explains what's missing ("Sales access needed" or "Pricing access needed").
- Appointments can be booked by sales staff and managers.
Creating a quote
New Quote has four steps: Customer, Vehicle, Services, Review.
- Customer: search by name, phone or email and pick the customer. Tap New customer if they aren't in the system yet. Then tap Next: Vehicle.
- Vehicle: pick one of the customer's vehicles, or tap New vehicle and enter Year, Make and Model. You can also tap Continue without vehicle.
- Services: add lines by typing a service and price, or use Load template, From catalog, or the Flat-glass sq ft calculator. Each line has an optional discount and a Taxed / Tax-exempt switch. Split film / labor… lets you tax the film and not the install labor. Tap + Add another service for more lines. An Estimated total shows as you go. Tap Next: Review.
- Review & save: check the lines, the tax rate (filled in from your shop's default, and you can change it), shop fees, and the Total. Pick the Salesperson (it defaults to you), add an optional Deposit % (optional) and Notes (optional), then tap Save Quote.
The quote opens when it's saved, and you can take it from there. If the customer is marked tax-exempt, the app says so and charges no tax unless you change the rate yourself.
Creating an invoice
New Invoice works the same way, with the steps Customer, Vehicle, Items, Review. It's meant for sales that don't need a quote first, like a walk-in or a counter sale.
- On Add items, use Add from service catalog or type your own lines with a quantity, price, optional discount and taxed/tax-exempt switch.
- On Review & save you'll see Total due, the Salesperson, Notes (shown to customer) and Internal notes (staff only). Tap Save Invoice.
When you finish a job that wasn't booked from a quote, Create invoice for this job on the job screen opens New Invoice with that customer already filled in and the job attached.
Booking an appointment
New Appointment has three steps: Customer, Vehicle (or Building), Details.
- Customer: choose Service visit or Flat-glass estimate, then pick the customer.
- Vehicle: pick a vehicle, add a New vehicle, or tap Skip — no vehicle. For a flat-glass estimate you pick or add a building instead.
- Booking details: choose an Installer and a Bay (both optional), an optional Service (which fills in the title and length), the day and time, a Title (optional) and Notes (optional). Tap Book Appointment.
If the installer or bay already has a job at that time, a warning appears before you book. If you book anyway, the app asks you to confirm the double-book. If your shop asks for a deposit, the form reminds you to collect it in person or send the booking link. The new job opens when it's booked.
If a customer's account is on hold, the app warns you and lets you choose Save anyway, Create anyway or Book anyway.

Frequently asked questions
Q: Why don't I see the Quote or Invoice button?
A: It only shows if you have Sales access in the app and permission to manage pricing. Ask your shop owner to check both.
Q: Do I have to add a vehicle?
A: No. Quotes and invoices let you continue without a vehicle, and booking has a Skip — no vehicle option.
Q: Can I book someone who's already busy at that time?
A: Yes. The form warns you about the conflict and asks you to confirm before it double-books the installer or bay.
Q: Does booking from the app charge a deposit?
A: No. Appointments you book in the app are scheduled right away. If your shop takes deposits, collect it in person or send the customer your booking link.
