Taking payment on an invoice from your phone

Log a payment you collected, let the customer pay by card on your phone, text a pay link, or request sign-off from the mobile invoice screen.

5 min read

The invoice screen in the SalesThumb mobile app lets you get paid without going back to a computer. You can log money you already collected, hand your phone to the customer to pay by card, text or email them a pay link, or ask them to sign off on the finished work. Open an invoice from the Invoices list or from a customer's page.

What the invoice screen shows

At the top you'll see the status, an Overdue pill with the number of days when it's past due, the total, and the balance still owed or "Paid in full". Below that are the customer (tap View customer to open them), the vehicle, vehicle photos, line items, totals with Balance due, payments, Completion sign-off and notes.

The buttons along the bottom depend on your role and the invoice. More invoice actions opens the Invoice actions sheet with everything else.

Logging a payment you collected

Use this for money you already took, such as cash, a check, or a card on your own terminal.

  1. Tap Take payment at the bottom. The amount starts at the balance due.
  2. Under Method, pick how they paid, for example Card, Cash or Check.
  3. Change the Amount for a partial payment, add a Tip (optional), and add a Reference / note (optional).
  4. Tap Log payment, check the summary, then tap Confirm & record.

The app doesn't charge a card here, and a logged payment can't be undone. When the balance reaches zero, the invoice is marked paid. Logging payments needs permission to record payments, which owners and admins have by default.

Letting the customer pay by card on your phone

Tap the card button at the bottom, or Take card now in Invoice actions. If you can't log payments, the button reads Take card. Your shop's secure pay page opens inside the app, and the customer types their card there. The card number never goes through the app.

When you close the page, the invoice updates. If the card hasn't shown up yet, you'll see "Checking for the payment".

Sending a pay link

  1. In Invoice actions, tap Send pay link.
  2. Under Send via, turn on Text message, Email, or both. The customer's number and email on file are shown.
  3. Add a Message (optional) if you like, and tap Send pay link.
  4. Confirm with Send.

Asking for sign-off

If the customer wasn't there to sign when the job was done, tap Request sign-off in Invoice actions, then Send. The customer gets a text with a secure link to confirm the work. The customer needs a phone number on file. Once they sign, Completion sign-off shows Signed off with their name.

Other actions

Invoice actions can also hold Mark sent (drafts only), Ask for a review (paid invoices), PDF, and Void invoice. Void only shows before any payment is made, and it can't be undone. Owners and admins can also refund a payment from the payments list.

For the web version, see Collecting payment on an invoice — card, cash, check, or pay link.

Frequently asked questions

Q: Does Take payment charge the customer's card?

A: No. Take payment records money you already collected. To charge a card, use Take card now so the customer can pay on your shop's secure pay page.

Q: Why don't I see Take payment?

A: Logging payments needs permission to record payments, which owners and admins have by default. You can still use Take card now or Send pay link while money is owed.

Q: Can I void an invoice that has a payment on it?

A: No. Void only shows on draft and sent invoices with no payments. To give money back, refund the payment instead.
