Using a customer's profile in the mobile app

Call, text, quote or book from a customer's screen on your phone, log a note, scan a VIN, add stamps, and see their full history.

4 min read

In the SalesThumb mobile app, tap Customers in the bottom bar, then tap a name. The customer's screen puts their numbers, contact buttons, vehicles and recent jobs on one page, so you can call, text, quote or book without opening the web app. What you see depends on your permissions. Installers get a shorter version than front-desk and sales staff.

What's on the screen

The top card shows the customer's name and phone. Under it are four numbers: Lifetime (total spent), Open AR (what they still owe), Visits and Avg ticket. Once a customer has at least one visit, you also see a churn risk label: Low, Medium or High.

If the customer has an account hold, a banner across the top shows the reason so nobody misses it. See Putting a customer on hold or recording 'stop texting' for what a hold does.

Quick action buttons

  • Message opens the customer's text thread on your shop's number, so replies come back to the shop inbox.
  • Call dials the customer from your phone.
  • SMS app opens your phone's own texting app. That text comes from your personal number, not the shop's.
  • Email opens your mail app.
  • Quote and Book start a new quote or appointment for this customer. You only see them if you have sales access, and Quote also needs permission to create quotes.

Contact, notes and the portal link

The Contact card lists phone, email and notes. Tap Send portal link to send the customer their self-service portal. If they have both a phone and an email, you pick Text or Email. If they've turned texts off, it goes by email. With no phone or email on file, you'll be asked to add one first.

To log a call or visit, tap + Add a note under Log a note, type it, and tap Save note. The note is added to the top of the customer's notes with the date and time. This needs sales access plus the Manage customers permission. Staff with Manage customers also see Place account hold under Contact.

Vehicles and VINs

The Vehicles card lists each car with color, plate and VIN. A VIN shows Scanned if it's on file, or Not on file if it isn't. Tap Scan VIN on a car to fill in a missing VIN, or Add vehicle by VIN scan to add a new car. The app always asks you to confirm before it saves anything.

If a scan doesn't match the VIN on file, you'll see VIN doesn't match. Only staff with Manage customers can tap Update VIN to replace it. Installers can fill in a missing VIN but can't change one. Each car also shows its photo history from past visits. For more on scanning, see Scanning a VIN with the VIN Scanner.

Tap Manage on the Vehicles card to open the Vehicles screen. There you can tap + Add vehicle, type a VIN and tap Decode to fill in year, make, model and trim, then add color and plate. Adding, editing and deleting cars on this screen needs the Manage customers permission.

Membership and stamp card

Sales staff see a Memberships row (with a Member tag if the customer has an active plan) and a Stamp card row showing their stamp count, like 4/10. Tap Stamp card to open Loyalty.

On Loyalty, tap +1 stamp after a paid visit, or Redeem reward once the card is full. If your shop has no loyalty program yet, the screen says so. You turn it on from the Loyalty page on the web.

Redeeming takes the required number of stamps off the card. Extra stamps stay on it. Adding stamps and redeeming both need the Manage loyalty permission. For setup, see Setting up a customer loyalty (stamp card) rewards program.

History

Recent Jobs shows the customer's last five appointments. Tap View all to open History. It shows their totals and lists their recent appointments, invoices and quotes. Tap an invoice or quote to open it.

Editing or deleting the customer

Staff with the Manage customers permission see Edit in the top corner. Edit Customer covers name, phone, email, company, the Fleet account switch, address, how they heard about you, and notes. Tap Save changes when you're done. If you clear a field, the old value is removed.

Delete customer is at the bottom of the same screen. It removes the customer and their vehicles, and it can't be undone. For the web version with every field, see Editing a customer's full record.

Using it with no signal

If you've opened a customer before and you lose signal, the app shows the copy it saved last time, with a banner like "Offline — showing data saved at 2:15 PM". While you're offline you can read the profile, but you can't save a note.

Frequently asked questions

Q: Why don't I see the Edit button or Log a note?

A: Both need the Manage customers permission, and Log a note also needs sales access. Ask an owner or admin to update your role.

Q: What's the difference between Message and SMS app?

A: Message texts from your shop's number, so the reply lands in the shop inbox. SMS app opens your phone's own texting app and sends from your personal number.

Q: Can an installer change a customer's VIN?

A: An installer can scan a VIN onto a car that doesn't have one yet. Replacing a VIN that's already on file needs the Manage customers permission.
