The Edit customer dialog is where you fill in — or correct — everything about a customer's record after they've already been saved. It opens from the customer's own profile page (Customers → click their name to land on `/app/customers/[id]`), not from the customer list itself, and it's built for any staff member working a customer's file day to day: front desk fixing a typo'd address, a manager flagging a company as a Fleet account, or whoever handles marketing turning tags and opt-in on or off.
It's a different form from New Customer, the page you land on when you first create someone. That quick-create form only asks for name, email, phone, SMS consent, source, and notes — enough to get a record started fast during a walk-in or a phone call. Address, company name, the Fleet-account flag, tags, the customer's calendar color, and marketing opt-in all live exclusively in this Edit dialog. There's no way to set them at creation time — you save the customer first, then come back here to fill in the rest.
Opening the dialog
On a customer's profile page, find the Contact card and click the pencil icon in its top-right corner. That opens Edit customer, described in the dialog itself as where you "update contact details, tags, and marketing preferences." It loads pre-filled with whatever's currently saved — if you close it and reopen it, any unfinished edits are gone and it reloads from the customer's saved record, not your last draft.
Filling in what the New Customer form skipped
This is the main reason to come back to a record after creating it:
- Address — street address, an optional apartment/suite line, city, state, and ZIP, each its own field.
- Company — a free-text company name field, with a placeholder hint that it's meant for fleet accounts.
- Fleet account — a toggle just below Company. Its own description spells out what it means: "Bill one business for multiple vehicles." Turning it on is what makes the customer show up flagged as a fleet account elsewhere in the app; it doesn't open any separate multi-step setup.
- Tags — a single comma-separated text field (e.g. "VIP, referral, commercial"). Whatever you type becomes that customer's tag list, and the field's own helper text says they're "used for filtering and campaigns."
- Calendar color — added to this dialog in August 2026. It sets the color used for this customer's appointments on the calendar. You'll see a row of preset color swatches plus an Auto option shown as a dashed circle. Click a swatch to pin the customer to that color; click Auto (or leave it there) and SalesThumb instead picks a color for that customer automatically — it's a consistent, deterministic pick per customer, not a random gray placeholder, so their appointments still look distinct on the calendar even with no override set. Whichever option is actually in effect right now is the one shown filled in — the swatch you picked gets a highlight ring around it when there's an override, or the Auto button itself fills in with the automatic color when there isn't — so you can see what the customer currently looks like on the calendar before deciding whether to change it.
- Marketing opt-in — a toggle described in the dialog as controlling whether the customer is included "in promo SMS/email campaigns."
Everything else you can touch here too
Because it's the same form, the Edit dialog also lets you correct or fill in first/last name, email, phone, notes, and the "how did you hear about us" source (with the same write-in option the New Customer form has, but not required here — it's meant for correcting or backfilling an existing record). There's also a separate SMS consent toggle, distinct from Marketing opt-in — its description warns to only switch it on once you've actually gotten the customer's consent, verbally, in person, or through online booking, not just to check a box.
Saving
Click Save changes at the bottom once you're done — it's disabled while a save is already in flight, and disabled if First name or Last name is empty (they're the only two required fields, same as on creation). Cancel closes the dialog without saving anything.
Delete and merge live in this dialog too
At the bottom-left of the same dialog are Delete customer and Merge into another customer buttons. Both are real, separate actions — deleting removes the record outright (blocked if the customer has existing quotes, invoices, appointments, or warranties on file), while merging folds a duplicate record's history into another customer and archives the duplicate. Those two flows have enough of their own detail (what data moves in a merge, why some deletes get blocked) that they're covered in their own article rather than repeated here.
Things to know
- Opening and saving this dialog isn't restricted to managers or owners — any staff member who can see a customer's profile can edit any of the fields above.
- Delete and Merge are the exception: both buttons are visible to everyone who opens the dialog, but actually completing either one requires the "manage customers" permission on your account. Without it, the action fails with an error message inside the dialog rather than the button being hidden up front.
- Clearing Calendar color back to Auto is a real, saved choice, not a "leave it as-is." It resets the customer to SalesThumb's automatic per-customer color rather than remembering whichever swatch you'd picked before.
- Tags are plain free text — there's no shared tag list to pick from, so consistent spelling/casing across customers is on you if you want tags to filter cleanly later.
- The dialog always reloads from the customer's currently saved data when it opens. If two people have it open on the same customer at once, whoever saves last wins — there's no conflict warning.
Frequently asked questions
Q: Where do I find the Edit customer dialog?
A: Open the customer's profile (Customers → click their name), then click the pencil icon in the top-right corner of the Contact card.
Q: Why couldn't I set this customer as a Fleet account when I created them?
A: The New Customer form doesn't have a Fleet field — it's only available here, in the Edit customer dialog, next to Company. Save the customer first, then open their profile and turn on Fleet account.
Q: What does the Calendar color field actually change?
A: It sets the color used for that specific customer's appointments on the calendar. Leave it on Auto and SalesThumb assigns a consistent color automatically; pick one of the preset swatches to override it, or click Auto again to clear the override and go back to the automatic color.
Q: What are Tags used for?
A: They're free-text, comma-separated labels — SalesThumb uses them for filtering the customer list and for marketing campaigns. You type them directly into the Tags field; there's no shared list to choose from.
Q: Is Marketing opt-in the same as SMS consent?
A: No, they're two separate toggles in this dialog. Marketing opt-in controls whether the customer is included in promotional SMS/email campaigns. SMS consent is about whether the customer has agreed to receive texts at all (including things like appointment reminders) — it should only be switched on once you've actually gotten that consent from them.
Q: Can any employee edit a customer's record, or does it require a specific permission?
A: Any shop member can open this dialog and save changes to the fields in it — editing isn't gated by role. Deleting or merging the customer, both reachable from buttons inside this same dialog, do require the "manage customers" permission.
