Once you've built your membership plans, you can enroll customers in them, track which benefits they've used, and cancel a membership when they leave. Memberships are a Pro-plan feature. Any staff member can enroll a customer and log a redemption. Canceling a membership is limited to owners, admins, and managers by default.
This article covers enrolling and managing members. To build the plans themselves, see setting up a detail subscription program.
Before you start: no automatic billing
SalesThumb doesn't charge members' cards yet. Enrolling a customer starts their membership with a TRIAL status, and nothing is charged. Collect each period's payment yourself, for example with an invoice.
Enrolling a customer (web)
- Open your Memberships page (at /app/memberships in your browser) and click the plan you want.
- Click New subscription at the top of the plan, or Add on the Subscribers card. These buttons only show on active plans. Archived plans don't take new members.
- Under Pick a customer, search by name, phone, or email, then click the customer. They're marked Selected.
- Under Billing interval, choose Monthly or Yearly. Each option shows the plan's price. If the plan has no yearly price, Yearly says "Not offered on this plan" and can't be picked.
- Click Enroll customer.
You're taken back to the plan, where the customer now appears under Subscribers with their interval and status.
Enrolling a customer (mobile app)
- Open the customer and tap Memberships.
- If they aren't in a plan yet, tap Enroll in a plan.
- Pick an active plan, choose monthly or yearly, and tap Enroll customer.
Once enrolled, a Member tag shows next to Memberships on the customer's screen.
Viewing a customer's memberships
On the web, a customer's Memberships page lists each membership under Active subscriptions. You can reach it by adding /memberships to the end of the customer's page address. Each membership shows:
- The plan name (click it to open the plan)
- Monthly or Yearly, the start date, and either when the current period ends, the date it cancels on, or when it ended
- A status badge, such as TRIAL or CANCELED
- Each benefit on the plan with its usage, like 1 / 2 this period, or Unlimited if there's no monthly cap
Benefit periods run from the day the customer enrolled. A monthly member's period resets on that same day each month, and a yearly member's resets each year.
If the customer has no memberships, you'll see a Browse plans button that takes you to your plans.
Logging a benefit the customer used
- On the customer's Memberships page, find the membership.
- In the Benefit label to redeem box, type the benefit name exactly as it's listed on the plan.
- Click Log redemption.
The usage count updates, and the redemption appears under Redemption history, which shows the latest 50.
If the customer has already used up a benefit's limit for the period (or its lifetime limit), SalesThumb blocks the redemption and tells you the limit was reached. Limits are only checked when the name matches the plan's benefit exactly, so copy it carefully.
On the mobile app, each benefit on the customer's Memberships screen has its own redeem button, so there's nothing to type.
Canceling a membership
- On the customer's Memberships page, click Cancel next to the membership.
- The confirmation tells you the customer keeps access until the end of the current period. Click Cancel membership to confirm, or Keep membership to back out.
The membership then shows the date it cancels on. Once that date passes, it reads as canceled, and benefits can no longer be redeemed.
