The Voids & Refunds report shows the money that didn't stick in a period: payments that were refunded or failed, and invoices that were voided.

Open the report

  1. Open Reports and switch to the Detail view.
  2. Pick a period at the top, like 1 Year, or click Custom and choose your dates.
  3. Under Financial, click Voids & Refunds.

What you'll see

  • The top row: how many invoices were voided and their total (Voided and Voided $), and how many payments were refunded or failed and their total (Refunded and Refunded $).
  • Refunded / failed payments: one row per payment, with the invoice number, the payment method, its status, the amount and the date. A tip that wasn't attached to an invoice shows as Tip. The amount is the full payment amount.
  • Voided invoices: one row per voided invoice, with its number, total and the date it was created.

To issue a refund, open the invoice and use Refund on the payment; see "Refund and customer credit handling". This report only lists them.

Who can see it: Owners, Admins and Managers, by default.

Frequently asked questions

Q: What does the Voids & Refunds report show?

A: Every payment marked Refunded or Failed in the period, and every invoice that was voided, with a count and a dollar total for each.

Q: Why is a failed payment in the refund list?

A: The payments table lists both refunded and failed payments, so you can see all the money that didn't stay collected in one place. The Status column tells them apart, and the Refunded totals at the top include both.

Q: Which dates does the report use?

A: Payments use the date they were processed (or created, if they never processed). Voided invoices use the date the invoice was created.
