The Inventory group in Reports turns your stock records into money and usage numbers. Every figure comes from what your team records in Inventory: rolls received, items received, usage and count corrections. If something looks off, fix the record in Inventory, not the report.
Inventory is on the Growth plan and up. To see these reports you need the View financial reports permission. Owners, Admins and Managers have it by default.
Open the reports
- In the sidebar, click Reports, then switch to Detail.
- Pick your date range across the top. Inventory Value, Low Stock (All) and Nearing Expiry always show today and ignore the range.
- In the list on the left, under Inventory, click the report you want.
Inventory Value
Shows Total Value and the number of SKUs, then a table by category. Film rolls count at what each roll cost, scaled to how much of the roll is left. Other items count at on-hand quantity times their current unit cost.
Inventory Turnover
Shows the Turnover Ratio (cost of goods used divided by average inventory value) and Days On Hand. Below are the period's COGS, Beginning Value, Ending Value and Average Value.
The beginning and ending values are rebuilt from your roll and item history as of each date. A higher ratio means stock moves faster.
Consumption by Category and Supplies Usage
Consumption by Category totals what you spent on each type of supply, from items recorded as Usage (−). It uses the unit cost saved on each record.
Supplies Usage lists each item with the quantity used and its cost, and has a CSV button. Its cost uses the item's current unit cost, so the two reports can differ slightly after a price change.
Supplier Spend
Shows each supplier with Orders, Qty and Spend, from items received with a supplier picked. Spend is quantity times the unit cost entered when the stock was received.
Orders counts the separate days you received stock from that supplier, not purchase order numbers. Items received with no supplier don't appear here.
Nearing Expiry
Lists received batches whose Expires date falls in the next 60 days, soonest first, with the lot number and Days Left. It only knows about dates you enter in the Expires field when you receive an item.
The report shows every matching receipt, even if you've already used that batch up.
Low Stock (All)
Puts low items and low film rolls in one list, sorted by urgency:
- OUT: nothing left.
- CRITICAL: below half of the alert level.
- LOW: at or below the alert level.
Items use their Minimum on hand level. Rolls use the reorder threshold set on the film product. A film product with no threshold never shows up here.
Frequently asked questions
Q: Why does the date range not change Inventory Value?
A: Inventory Value, Low Stock (All) and Nearing Expiry always show your stock as of right now. The other inventory reports use the date range.
Q: Why is a supplier missing from Supplier Spend?
A: The report only counts stock received with that supplier picked. If items were received without choosing a supplier, that spend isn't tied to anyone.
Q: Why isn't an expiring coating on the Nearing Expiry list?
A: The list only uses the Expires date entered when the item was received. Add the date next time you receive that item, and it will appear once it's within 60 days.
