Two reports help you plan the calendar. Booking Lead Time shows how far ahead customers book. Duration Accuracy shows whether the time you block for a job matches how long it really takes.
To see them you need the View financial reports permission. Owners, Admins and Managers have it by default.
Open the reports
- In the sidebar, click Reports, then switch to Detail.
- Pick your date range across the top.
- Under Operations, click Booking Lead Time. Under Scheduling, click Duration Accuracy.
Booking Lead Time
Lead time is the gap between when an appointment was created and when it starts. You see Avg Lead and Median in hours, plus the number of Appointments scheduled in the range.
The table splits this by booking source, such as "manual" for bookings your team makes and "booking_page" for online bookings. Appointments entered after their start time are left out of the averages.
Duration Accuracy
This report uses completed appointments that were marked In progress and then Completed. The estimate is the length of the calendar block. The actual time runs from when the job was marked In progress to when it was marked Completed.
The tiles show On-time rate, Avg drift, Avg estimated and Avg actual. A job counts as on time when it finished within 10 minutes of its block, either way.
The By service table shows up to 20 services, most common first, with their average estimate, average actual time and drift.
Things to know
- Jobs your team never marks In progress don't show up in Duration Accuracy.
- Time a job spends in Ready counts as actual time, because the clock only stops at Completed. If jobs sit in Ready until pickup, actual times will run long.
Frequently asked questions
Q: Why are some jobs missing from Duration Accuracy?
A: The report only uses completed appointments that were marked In progress first. If your team skips In progress, there's no start time to measure from.
Q: What does on time mean in Duration Accuracy?
A: The job finished within 10 minutes of its calendar block, either over or under.
Q: Which date decides if an appointment is in the range?
A: Both reports use the appointment's scheduled start date.
