Purchase Orders in the mobile app lets you draft film orders, track their status, and receive rolls into inventory from your phone. It works on the same purchase orders as the web. For the web walkthrough, see Creating and tracking purchase orders.
To open it, tap the round thumb button at the bottom of the screen, then Purchase Orders under Operations.
Who sees it
The entry shows for people who have permission to manage inventory. If you open the screen without it, the app says "Manager access needed." If inventory tracking isn't turned on for your shop, the screen says "Inventory isn't enabled" and asks you to have your shop owner turn it on.
Reading the list
The top of the screen shows four cards: Open POs, On order, Submitted and Received. Under them, filter the list by All, Draft, Submitted, Partial, Received or Canceled.
Each order shows its PO number, a status pill, the supplier (or "No supplier set"), the total and the date it was created. A dash in place of an amount means your role can't see supplier costs.
Reorder low stock in one tap
Tap Reorder low stock. The app drafts a purchase order from your film products that are below their reorder threshold and opens it straight away. Check the lines and costs, then submit it when you're happy.
Drafting a new order
- Tap the + button at the bottom right.
- Under Supplier, tap a supplier from your list (tap it again to deselect). If it isn't there, type a name under Or enter a supplier manually, with an optional email.
- Optionally tap Expected date and pick a day on the calendar.
- For each line, tap a chip under Pick existing product or type a Product label, then set Rolls, Width (in), Length (in) and Unit cost / roll ($). Notes are optional.
- Tap Add line item for more lines. Add PO notes if you want.
- Check the Estimated total, then tap Create PO.
New lines start at 1 roll, 40 inches wide and 1200 inches long. You need at least one line with a product label.
Pick the product from the chips. A line you only type isn't linked to a film product, so receiving it doesn't add rolls to inventory.
Submitting, receiving and canceling
Open an order to see its status, supplier, dates, line items and totals.
- Submit (on a draft) moves it to Submitted.
- Next to a line, enter how many rolls arrived (it starts at 1) and tap Receive. Each line shows a count such as "1 / 3 received", then All received when it's complete.
- Mark all received (on a Submitted or Partial order) receives every remaining roll at once. The app asks you to confirm and tells you how many rolls it will add. Only confirm when the whole shipment is in.
- Cancel asks "Cancel this purchase order?" and says it can't be undone.
Frequently asked questions
Q: Why don't I see Purchase Orders in my Go to menu?
A: It shows for people who have permission to manage inventory. Ask your shop owner to grant it.
Q: Why didn't receiving a line add rolls to my inventory?
A: The line probably wasn't linked to a film product. Pick the product from the chips when you draft the order instead of only typing a label.
Q: Does Mark all received just change the status?
A: No. It receives every remaining roll, the same as receiving each line by hand. Only use it when the full shipment has arrived.
Q: Can I undo a canceled order?
A: No. The app warns you before you cancel that it can't be undone.
