National accounts: one price for a big customer at every location

Set a national or fleet account's prices once, push them to every location that serves it, and download statements.

4 min read

A national account is a big customer HQ signs once for the whole network, like a rental or delivery fleet. You set its prices once and push them to each location that serves it. Statements are downloads only. Each location's invoices stay as they are, and no money moves through SalesThumb. It's part of the HQ add-on.

Where to find it

In the HQ sidebar, click National Accounts under Data. HQ owners and admins can make changes. Others see "View only".

Add an account

  1. Click Add account.
  2. Type the Account name and an optional Account number.
  3. Save.

Open the account to add a Billing contact and Billing email.

Set its prices

Under Prices:

  1. Pick the Service or category.
  2. Pick the Type: Flat price ($) or Discount (%).
  3. Type the Price or Percent off, and click Add price.

Link each location's customer

Each location keeps its own customer record for the account. Under Location customers:

  1. Pick the Location.
  2. Under Find the customer, search by company or name.
  3. Click Link.

Push prices to locations

Click Push prices to locations. The account's prices are written into each linked location's fleet pricing for that customer. A message tells you how many locations got them, and how many prices were added, updated or removed. Run it again any time you change a price. It only touches this account's own prices.

Statements

Click Statements on the account.

  1. Pick the dates under From and To, then click Preview. You see each location's invoices for the account and the total.
  2. Click Create draft statement.
  3. Click Issue when it's ready.
  4. Download it as PDF or CSV to send to the customer yourself.

To record that a location's amount was paid, open the statement, type the date it was settled outside SalesThumb and a note on that location's line, and click Save. To start over, click Void. Its invoices become available for a new statement, and nothing is charged or refunded.
