When HQ tracks a location's insurance or license renewal, the location can upload the certificate and HQ can approve it. It's part of the HQ add-on.
How a request starts
HQ sets up an Insurance or License reminder on the location's compliance calendar. See Tracking licenses, insurance and renewals for a location. Each open reminder becomes a row the location can upload to.
For the location: upload a certificate
- Open HQ Connect and click the Certificates tab. The tab shows a count when something is due.
- Find the row for the reminder.
- Optional: set Certificate expires.
- Click Upload certificate (or Upload a newer certificate) and pick the file. PDF or photo, up to 20 MB.
You'll see "Certificate sent to HQ for review." The row then shows Waiting for review.
Only staff who can manage shop settings can upload. That's the Owner and Admin roles by default.
If HQ rejected an upload, the row shows their note. If HQ has closed the request, you can't upload there. Contact HQ if they still need it.
For HQ: review certificates
- In the HQ sidebar, click Compliance under Franchise Ops.
- Open the Certificates tab.
- Filter by All, Needs review, Missing, Expired, Expiring or On file.
- On an upload, set the Expires date if needed, then click Approve. To reject it, type a note for the shop first, then click Reject.
Approving replaces the older approved certificate for the same location, category and reference number. Only HQ owners and admins can approve or reject.
Each location's status reads On file, Expiring soon, Expired, Missing or Waiting for HQ review.

Frequently asked questions
Q: Why don't I see the Certificates tab in HQ Connect?
A: It only shows when your shop's HQ has the HQ add-on. Rows appear once HQ sets up an insurance or license reminder for your shop.
Q: What files can I upload?
A: A PDF or a photo, up to 20 MB.
Q: Can HQ reject a certificate without saying why?
A: No. HQ has to write a note for the shop before Reject turns on, and the location sees that note.
