The Marketing Fund page tracks the National Marketing Fund (NMF). It has three tabs: Campaigns, Contributions and Claims. This article covers the Campaigns tab: how to record a campaign, and how to fix a spend amount that was entered wrong. For the other tabs see Marketing fund contributions and Marketing fund claims.
Open HQ dashboard → Insights → Marketing Fund. The page needs the +HQ add-on. Without it you see "Marketing Fund needs the +HQ add-on".
The tiles at the top
- Fund balance: counts marketing-fund money collected on paid royalty statements, minus campaign spend and paid claims.
- Contributions (MTD): this month's estimate. A note on the page says it is billed on the next royalty statement and joins the balance once that statement is paid.
- Spend (to date): total campaign spend, with the number of active campaigns.
- Leads generated: leads, awarded count and cost per lead.
Add a campaign
Click New campaign. The New campaign form opens right on the page and has these fields:
- Name
- Channel: Meta, Google, TikTok, YouTube, Linear TV, Radio, Print, Out of home or Other.
- Status: DRAFT, ACTIVE, PAUSED or COMPLETED.
- Starts and Ends (optional)
- Budget (USD)
- Spend to date (USD)
- Impressions
- Leads and Awarded
- Creative URL (optional): it must be a full URL such as https://example.com/ad.jpg.
- Notes
Click Create campaign. To change one later, click Edit on its card, change the fields and click Save changes.
Each campaign card shows tiles for Spend (of the budget), Impressions, Leads (with cost per lead) and Awarded (with cost per award). If you added a creative URL, a View creative link shows. Notes show under the tiles.
Creating, editing and deleting campaigns needs the permission to manage marketing campaigns.
Spend can go up by editing, but not down
When you edit a campaign, you can raise Spend to date (USD). You can't lower it in the edit form. The server refuses it and points you to the spend-correction action. This keeps the fund balance honest.
Correct spend
Use Correct spend when a spend amount was entered wrong, for example $12,000 instead of $1,200.
- Click Correct spend on the campaign card.
- The window Correct campaign spend shows the campaign name and Recorded now.
- Type the amount in Corrected spend ($). Use dollars with up to two decimals, such as 1250.00.
- Type a Reason (required).
- Click Save correction.
The window explains that this changes the fund balance and that the old amount, the new amount and your reason are saved in the audit log. It links to the Royalty audit log. After saving you see "Spend corrected. The change and reason are in the audit log."
The Save button stays off with a hint if the amount isn't a plain dollar amount, if it is the same as the amount already recorded ("That is the spend already recorded."), or if the reason is empty ("Add a reason for the correction."). The reason can be up to 2,000 characters.
Correct spend is shown to org owners and org admins only.
Deleting a campaign
The trash button asks you to confirm before it deletes. A campaign that has recorded spend can't be deleted. The message says its spend must stay in the fund balance history and suggests setting it to COMPLETED instead.
Frequently asked questions
Q: Why can't I lower Spend to date when I edit a campaign?
A: Edits can only raise recorded spend. To lower it, use Correct spend, which asks for a reason and records the change in the audit log.
Q: Who can use Correct spend?
A: Org owners and org admins. Creating, editing and deleting campaigns needs the permission to manage marketing campaigns.
Q: Where is my correction recorded?
A: The old amount, the new amount and your reason are saved in the audit log. The window links to the Royalty audit log.
Q: Why can't I delete a campaign?
A: A campaign with recorded spend can't be deleted, because its spend must stay in the fund balance history. Set it to COMPLETED instead.
Q: Why is Fund balance lower than Contributions (MTD)?
A: Fund balance counts marketing-fund money collected on paid royalty statements. Contributions (MTD) is this month's estimate and joins the balance once the next royalty statement is paid.
