Signature roster: e-signature requests from HQ

How HQ marks a Legal or Compliance file for e-signature, uses the Signature roster to send it to each shop through DocuSign, and what shops see.

5 min read

Some HQ documents need a shop's signature. The Documents page can route a document to each shop through DocuSign and track who has signed. This article covers that flow. For the document library itself, see Document hub.

Open HQ dashboard → Network → Documents.

Mark a document for e-signature

E-signature is offered on documents in the Legal or Compliance category.

1. Click Upload document, or open an existing document to upload a new version. 2. Set the Category to Legal or Compliance. 3. Under E-signature document type, pick one: - Franchise agreement renewal - Franchise agreement amendment - Policy update (needs countersignature) Leave Not an e-signature document for an ordinary document. 4. Choose who it is visible to and upload the file.

The note under the choice says marking a document routes it through DocuSign for signature. Once a document is marked, it can't be un-marked here. You can pick a different type.

The document card then shows the type in its details line, and a Signature roster button.

The Signature roster

Click the Signature roster button on the card. The window title is Signature roster and the document name. It lists each shop the document is aimed at, with the shop's email, or No email on file. The header counts how many shops signed, for example 2 of 5. Closed locations are left off the list and out of that count.

Each shop shows one of these:

  • Not sent yet
  • Sent, Viewed, Declined or Voided, followed by "via DocuSign"
  • Signed with the date

A (demo) tag appears on test envelopes.

If no shops are targeted, the window says "No shops are targeted by this document."

Send, refresh and resend

People who can manage the document library see buttons on each row:

  • Send sends the document to that shop for e-signature through DocuSign. It stays off if the shop has no email on file.
  • Refresh asks DocuSign for the latest status of an open envelope.
  • Resend replaces a declined or voided envelope with a new one.

A document that is already signed can't be sent again.

What the shop sees

In HQ Connect, on the shop's Documents tab, the document shows a badge: Sent — awaiting signature, Sign now, Signed, Declined or Voided. A line tells them to check their email, because DocuSign sent a signing link to the shop's contact address.

Who can do this

Anyone with document access can open the roster to check status. Sending and refreshing are for people who can manage the document library.

Frequently asked questions

Q: Which documents can be sent for e-signature?

A: Documents in the Legal or Compliance category that are marked with an e-signature document type.

Q: Why is the Send button off for a shop?

A: The shop has no email on file. Add one first, because DocuSign sends the signing link to the shop's contact email.

Q: What does Resend do?

A: It sends a new envelope when the earlier one was declined or voided.

Q: What does the shop see?

A: A badge on the Documents tab in HQ Connect, such as Sent — awaiting signature, Sign now or Signed, and a note to check their email for the DocuSign link.

Q: Can I turn off e-signature on a document?

A: Not from the upload window. Once a document is marked, you can only pick a different e-signature type.
