Reading the royalty and marketing fund audit log

See who recorded payments, sent or waived statements, changed the royalty rule, issued credits and approved fund claims, with the date and details of each action.

3 min read

The Royalty & Marketing Fund Audit Log is a read-only history of money-related actions across your network. It shows who approved, rejected, paid or sent royalty and marketing-fund items, and who changed the rules behind them. It's part of the +HQ add-on. Without it, the page shows "Royalty audit log needs the +HQ add-on."

Getting there

In your HQ dashboard, open Royalty, then click Audit Log at the top right. Use the back arrow to return to Royalty.

What each row shows

The table has five columns:

  • When: how long ago, with the full date and time under it.
  • Actor: the person's name and email. A support-staff action shows "Support session".
  • Action: a label such as "Royalty payment recorded" or "Statement waived".
  • Target: the kind of record, such as Royalty statement or Royalty credit.
  • Metadata: click Show details to open the recorded details, and Hide details to close them. If nothing further was recorded, the row says "No further details recorded."

Actions you'll see

The log covers several groups:

  • Statements: sent, resent, marked paid, waived, disputed and dispute resolved or reopened.
  • Payments: recorded and voided.
  • Credits: issued and voided. See Issuing royalty credits and extra charges.
  • The royalty rule: created, updated, disabled and pushed to shops.
  • The two settings in Royalty options: billed through another system, and hold statements for review.
  • Marketing fund claims: drafted, submitted, approved, rejected, paid and reopened.

ACH collection attempts also appear, as attempted, failed or unconfirmed.

Paging through

The page shows 50 events at a time and a line such as "Showing 1–50 of 120 events". When there's more than one page, use the arrow buttons at the bottom to move between pages. With no events yet, the page says "No matching events".

Frequently asked questions

Q: Can I edit or delete an entry?

A: No. The page only displays history.

Q: Why does an entry say "Support session"?

A: The action was taken by SalesThumb support rather than someone on your team.

Q: Where do I see a single shop's statements?

A: Open the period from the Royalty page. This log is for who did what, not for balances.
