Issuing royalty credits and extra charges to a shop

Add a one-off credit or extra charge to a shop's next royalty statement, see each one's status, and void one that hasn't been applied yet.

Royalty Credits & Adjustments is where HQ adds a one-off credit or extra charge for a single shop. Examples are a grand-opening waiver, a marketing co-op reimbursement or a late-fee charge. Each entry is applied automatically to that shop's next generated statement. This page is part of the +HQ add-on. For how statements are calculated, see How royalty calculation and collection work in HQ tier.

Getting there

In your HQ dashboard, open Royalty, then click Credits at the top right. The page lists every credit and charge, newest first, with the shop name, a status badge, the reason, the amount and the dates.

Issuing a credit or charge

Only people with permission to correct the royalty ledger see the Issue credit button. Org owners and admins have it by default.

  1. Click Issue credit.
  2. Pick the Shop.
  3. Set the Type: Credit (reduces royalty due) or Extra charge.
  4. Enter the Amount (USD).
  5. Enter a Reason. It's required.
  6. Optionally add a Description (optional) and an Expires (optional) date.
  7. Click Issue credit (or Issue charge).

There's no separate step to attach it to a statement later. If the amount is over $1,000, the button changes to Confirm and issue credit and you click once more to confirm.

The Expires date

If a credit isn't applied to a statement by its expiry date, it no longer qualifies. A later generate run won't pick it up, and the row shows Expired. Leave the date blank for no expiry.

Statuses

  • Pending: issued, waiting for the shop's next statement.
  • Applied: it was used on a statement.
  • Voided: cancelled by HQ.
  • Expired: the date passed before it was applied.

Use the shop picker and Pending only to narrow the list.

Voiding an entry

Click Void on a row, type a Reason for voiding, then click Confirm void. Void is available for entries that haven't been applied or voided. An applied entry shows "Applied to a statement — issue an offsetting credit to correct" instead.

Limits and the audit trail

SalesThumb refuses an amount that's too large for the shop and asks you to issue several smaller ones instead. Issuing and voiding are both recorded in the royalty audit log. The shop sees its credits on its own Royalties report. See Reading your shop's Royalties Paid report.

Frequently asked questions

Q: Do I have to attach a credit to a statement?

A: No. It's applied automatically when that shop's next statement is generated.

Q: Can I issue an extra charge instead of a credit?

A: Yes. Set Type to Extra charge. It shows as a negative amount in the list.

Q: I issued a credit to the wrong shop. Can I undo it?

A: If it's still Pending, use Void and give a reason. Once it's applied to a statement, you can't void it here.

Q: I don't see the Issue credit button.

A: It needs permission to correct the royalty ledger. Ask an org owner or admin.
