Once an HQ contract is split between shops, HQ can hand each shop individual jobs, such as one per vehicle. This is the HQ side of the work. Shops see the same jobs in their own queue. See Working HQ-assigned fleet contract jobs at your shop for that side, and Fleet contracts for contracts themselves.
Open a contract's jobs
- Open HQ dashboard → Data → Contracts.
- On the contract card, click Jobs.
The page is titled Contract job assignment, with the contract name and Jobs. A link at the top goes back to the org's contracts.
If the contract has no shops allocated, an amber note says "This contract has no allocations yet. Allocate it to at least one shop before assigning individual jobs." Add job and Bulk add jobs stay off. Use Assign shops on the contract card first.
The totals
Four tiles sit at the top: Total jobs, Total value, Completed (for example 3 / 10) and Completed value. They always count the whole contract, even when you filter the list.
Add one job
- Click Add job. The window says "Push a single line item to a shop allocation."
- Pick an Allocation. This chooses the shop.
- Fill in Label, for example a vehicle and unit number.
- Optionally add a Service description, Value ($) and Due date.
- Optionally add HQ notes (visible to shop).
- Click Add job.
Add many jobs at once
- Click Bulk add jobs. The window says to spin up N identical jobs at once, useful for fleet rollouts, and that each job gets a numbered suffix.
- Pick the Allocation.
- Set Count and Value each ($).
- Type a Label template. The window previews it, so a template of Fleet van makes jobs labeled Fleet van #1, Fleet van #2 and so on.
- Optionally add a Service description (applied to all) and a Due date (applied to all).
- Click Create jobs.
One bulk run can create up to 500 jobs. If you run bulk adds too often you may see "Too many bulk job creations — try again later."
Read and filter the list
Jobs are grouped by shop. Each group header shows how many of that shop's jobs are completed. Each job shows its status. The statuses are pending, accepted, scheduled, in progress, completed and released.
- Use Search label, service, shop… to find a job.
- Use the status menu, which starts on All statuses, to narrow the list.
If nothing matches you see No jobs match your search. With no jobs at all you see No jobs assigned yet.
Move a job to a different shop
Click the arrows button on a job. Its tooltip reads Move to a different shop. The window lets you pick a Destination shop from the other shops allocated on this contract. Click Move job. You see "Job moved." The job goes back to the pending state for the new shop. A completed job can't be moved: its arrows button is greyed out, with the tooltip Completed jobs cannot be moved.
Delete a job
Click the trash button and confirm. A completed job can't be deleted: its trash button is greyed out, with the tooltip Completed jobs cannot be deleted.
Who can do this
Adding, moving and deleting jobs is for org owners and org admins. Other HQ users can open the page and read the jobs, but Add job, Bulk add jobs and the move and delete buttons are hidden for them.
Frequently asked questions
Q: Why are Add job and Bulk add jobs turned off?
A: The contract has no shop allocations yet. Allocate it to at least one shop first, then assign individual jobs.
Q: How many jobs can I create in one bulk add?
A: Up to 500 in one run. Each job gets a numbered suffix after your label template.
Q: What happens to a job's status when I move it to another shop?
A: It goes back to pending for the new shop.
Q: Can I delete or move a completed job?
A: No. A completed job can't be deleted or moved. Its trash and arrows buttons are greyed out.
Q: Do the totals change when I search or filter?
A: No. The four tiles at the top always count the whole contract. Only the grouped list narrows.
