If you're bringing a group of existing shops into SalesThumb, you don't have to add them one at a time. The HQ Import locations page creates up to 50 locations at once from a CSV spreadsheet. It's part of the HQ add-on, and you need the Manage org settings permission (the same one needed to add a single location by hand).
Each row goes through the same setup as adding one location yourself. SalesThumb creates the shop, makes you its owner, and either copies setup from a location you name or loads the default starter setup.
Getting there
- Switch to your HQ view, then click Locations under Network in the HQ sidebar.
- Click Import CSV at the top of the page. (If you have no locations yet, the Import CSV button is also in the middle of the empty page.)
Preparing your file
Not sure how to lay it out? Click Download sample CSV on the upload screen. The sample has these columns: Location Name, Address 1, City, State, ZIP, Phone, Email, Website, Verticals, Clone Setup From, and Pre-launch.
A few rules:
- Put column headers in the first row.
- Location name is the only required column. Rows without a name are skipped.
- Up to 50 locations per file. If you have more, split them into smaller files and import each one.
- Verticals can list more than one service line, separated by commas, slashes, or semicolons (for example "Tint, PPF/Wrap"). It understands Window Tint, PPF / Wrap, Detail / Ceramic, and General, plus short forms like "tint", "ppf", "wrap", "detail", and "ceramic". If the cell is blank or doesn't match, the location defaults to Window Tint.
- Clone setup from is the *name* of one of your existing locations, not an ID. If the name doesn't match a location in your HQ, that row gets the default starter setup instead.
- Pre-launch takes yes/no (or y/n, true/false, 1/0). A pre-launch location is created ahead of opening.
Importing step by step
- Drag your CSV onto the upload box, or click it to browse for the file.
- Under Map your columns, check where each column in your file will go. SalesThumb guesses from your headers, so a column called "Shop name" or "Store" maps to Location name, "Zip" maps to ZIP code, and so on. Change any dropdown that's wrong, or set it to — Don't import — to skip a column.
- Check the green line under the mapping. It tells you how many rows are ready to import and how many will be skipped for a missing name. If you haven't mapped a name column yet, you'll see a prompt to map at least Location name.
- Look over the Preview. It shows the first five rows with name, city/state, phone, verticals, and setup. The Setup column shows "Clone from" with the location name, "Starter seed (default)", or a warning that the clone-from name wasn't found.
- Click Import [number] locations. Keep the tab open while it runs. Each location runs its own setup, so this can take a minute.
Click Change file or Cancel at any point before importing to start over.
After the import
The Import complete screen shows how many locations were Created and how many Failed. One bad row doesn't stop the rest; every other row is still created.
If any rows failed, a list shows the row number, the location name, and the reason, for up to 10 rows. A common reason is a phone number that already belongs to another shop on SalesThumb. Texts and calls are routed by phone number, so each number can belong to only one shop. Fix those rows in your spreadsheet, then click Import another file to import just the corrected rows.
Click Back to locations to see your new shops on the Locations page.
What gets copied when you clone
When a row names a location to clone from, the new shop gets that location's branding plus its catalog, pricing, and sales-matrix setup. The contact details (name, address, phone, email, website) always come from your spreadsheet, never from the source location. For more on organizing new shops into companies and regions afterward, see Adding locations, regions and owner access in HQ.
Frequently asked questions
Q: How many locations can I import at once?
A: Up to 50 per file. If your spreadsheet has more, split it into smaller files and import each one separately.
Q: What happens if one row has a problem?
A: The rest of the file still imports. The results screen shows how many were created and how many failed, with the row number and reason for each failure, so you can fix those rows and import them again.
Q: What if my "Clone setup from" name doesn't match any location?
A: That row isn't rejected. It's created with the default starter setup instead, and the preview warns you before you import that the name wasn't found.
Q: Which column is required?
A: Only Location name. Every other column (address, phone, email, website, verticals, clone setup from, and pre-launch) is optional.
Q: Who becomes the owner of the imported locations?
A: You do. Each new location is created with the person who ran the import as its owner, the same as adding a location by hand.
