The HQ Sales Tax page (headed Chain sales-tax rollup) shows tax collected, remitted, and still owed across every location in one place — handy for a franchisor that files under one entity, a multi-shop owner reconciling with an accountant, or anyone trying to spot which shop needs to file this week. It's part of the HQ add-on, and your account needs HQ dashboard access. If your organization isn't on HQ, the page says Sales tax needs the +HQ add-on with an Ask about +HQ button.
Getting there
Switch to your HQ view (see Switching between your locations and the HQ dashboard view), then click Sales Tax under Insights in the HQ sidebar.
Picking a period
Along the Period bar, click This month (the default), Last month, This quarter, YTD, or Custom. Custom shows two date pickers so you can set your own start and end. The exact dates in view are always shown at the right end of the bar ("Showing ... to ...").
The four summary cards
- Chain collected — total sales tax on invoices across every shop, with the invoice count underneath.
- Remitted — tax your shops have logged as paid to the state, for remittances whose period end falls inside your date range.
- Owed — collected minus remitted, labeled Not yet remitted. If the network has remitted more than it collected for the period, the card switches to Credit on file.
- Shops with revenue — how many locations had invoices in the period out of the total, plus how many have a tax registration ID on file.
Only invoices that have gone out to a customer count — sent, partially paid, or paid. Drafts, voided and refunded invoices are left out. Each invoice is counted on the date it was created, in that shop's own time zone.
Reading the Per-shop breakdown
The Per-shop breakdown table is sorted by Owed, highest first, so the location that most needs to file sits at the top. Every shop in your HQ is listed, even ones with no invoices in the period. Columns are:
- Shop — name, plus city and state (or "Address not set").
- Mode — shows Manual with the shop's configured tax rate underneath. Tax is always calculated from each shop's own rate.
- Invoices, Collected, Remitted, and Owed — owed amounts show in amber; a negative amount (over-remitted) shows in green with a minus sign.
- Reg ID — the shop's tax registration ID, or "not set".
A Chain total row at the bottom adds everything up.
Each shop sets its own rate and tax registration ID in its own settings — see Setting your tax rate.
Drilling into one shop
Click any row to switch into that shop and open its own Sales Tax report, which has the breakdown by rate and the log for recording remittances. See Reading the Sales Tax report.
Exporting to CSV
Click Download CSV in the top right. The file includes the chain totals (collected, remitted, owed, invoice count, taxable and exempt subtotals, shops with revenue, shops registered) followed by one row per shop with city, state, tax registration ID, invoices, collected, remitted and owed.
Per-shop vs. unified filing
The note at the bottom of the page explains the two common setups. Most chains file per shop: each location files its own state return using its own registration ID, so each row's owed amount is what that shop submits. Some franchises file unified: corporate files one return for every location, so use the chain total. Either way, filing is your responsibility.
Who sees what
In a franchise network, a member with viewer-level HQ access only sees their own location(s) here. Owners and admins see the whole network.
Frequently asked questions
Q: Why doesn't the Remitted number match what I paid this month?
A: Remitted only counts remittances whose period end date falls inside the date range you picked. A payment logged for a different period shows up when you select that period.
Q: Are draft or voided invoices included?
A: No. Only invoices that were sent, partially paid or paid count. Drafts, voided and refunded invoices are excluded.
Q: Where do I log a sales tax payment?
A: In each shop's own Sales Tax report. Click that shop's row on the HQ page to switch into it and open the report.
Q: What does Credit on file mean?
A: It means more tax was logged as remitted than was collected for the period, for example from rounding or credits, so the owed amount is zero or negative.
