The Customers and Vehicles pages under HQ (`/app/hq/<orgId>/customers` and `/app/hq/<orgId>/vehicles`) let a franchisor search every customer and vehicle record across all the shops in the org from one screen, with the originating shop shown right on each row. This is an HQ-level feature — it's built for the franchisor's own dashboard, not something an individual shop's own staff see. A shop's regular CRM only ever shows that shop's own customers and vehicles; a person who's only a member of a single shop (not the org itself) doesn't get this page at all. Both pages are read-only by design: you search and navigate to the right shop from here, but any actual edit to a customer or vehicle still happens inside the shop that owns the record.
Searching customers across every shop
Open Customers under HQ and you get a search box, a location dropdown, and an All / Retail / Fleet toggle. The search box matches against first name, last name, email, phone, and company name. Type more than one word — a first and last name together, say — and every word you typed has to match somewhere on the record, so a two-word search still finds someone even though their first and last name live in separate fields. The location dropdown narrows to one shop, or leave it on All locations to search the whole org at once. All / Retail / Fleet filters the list down to just fleet/B2B accounts or just retail customers.
Above the results, three small stat cards summarize whatever's currently on screen: how many customers matched, how many of those are flagged Fleet/B2B, and how many different locations are represented in the current result set.
Results are sorted by total spend, highest first, and capped at 200 rows. Total spent and order count are calculated live from that customer's completed payments (net of any refunds) at shops under this org — not a stored figure that can go stale. Every row also shows the shop it belongs to, with a small store icon next to the shop's name.
This is the page for spotting a VIP who's walked into a location other than the one they usually visit — search their name from HQ and, if they've bought from any shop in the network, they'll show up here with their real network-wide lifetime spend and the shop each purchase happened at. Click anywhere on a row — or the shop name, or the arrow at the right — and you're taken to that location's own profile page inside HQ, showing the shop's team, resources, its own top customers, royalty, and documents. It doesn't jump into the customer's actual record; it drops you at the right shop so you can pick up the thread there.
If you land on this page from elsewhere in HQ — clicking a name in the dashboard's Top Customers list, for example — that row scrolls into view and briefly highlights automatically, so you don't have to hunt for it in a long list. Coming in from the dashboard's Fleet customers card similarly lands you here with the Fleet filter already selected.
Searching vehicles across every shop
Vehicles under HQ works the same way but for vehicle records: a search box and a location dropdown, with no stat cards and no Retail/Fleet toggle (those are customer-only). The search box checks make, model, VIN, and plate, but it checks each field for the search text individually rather than combining them — so pasting a full VIN or plate works cleanly, but typing a combined phrase like a year, make, and model together won't match unless that exact string happens to sit inside a single field. For the most reliable results, search on just the VIN, just the plate, or just the make or model.
This is the page for the classic fleet-manager call: someone hands you a VIN or a plate and needs to know which of your shops has serviced that vehicle. Paste it into the search box and any matching vehicle turns up with its year/make/model, VIN, plate, the customer it's linked to (when there is one on file), and the shop that has it. Results are sorted newest-first and capped at 200 rows.
Clicking a row, the shop name, or the arrow does the same thing it does on the Customers page: it takes you to that location's profile page inside HQ, not into the vehicle record itself.
Things to know
- Any org member has this by default. HQ dashboard access isn't restricted to Owner/Admin roles — every org role gets it unless someone explicitly turns it off for that specific account (for example, checking a "CRM only" option when inviting them) or the org doesn't have the HQ add-on enabled. A restricted account sees an "HQ access is restricted on your account" message instead of the page.
- Shop-only staff don't see this at all. Someone who's only a member of a single shop, without an org-level membership, isn't shown these pages — they work in that shop's own CRM, which only shows that one shop's customers and vehicles.
- Read-only by design. Both pages exist to search and to jump to the right shop. Editing a customer or vehicle still has to happen inside the shop that owns the record.
- Results cap at 200 rows. If a search returns exactly 200 matches, you're likely hitting the cap — narrow it with the location filter or a more specific search term rather than assuming that's the complete list.
- The Owner column on Vehicles can be blank. That means either no customer is linked to that vehicle, or the linked customer record isn't visible from a shop this search covers.
- Total spent and order count are computed live, not read from a cached total — they reflect completed payments (net of refunds) at shops under this specific org, so a customer's figures here can never include activity from another org.
