A Discovery Day is the in-person visit where a serious franchise prospect comes to meet your team before deciding. The Discovery Days page in Franchise Sales is a calendar of those visits. Each visit is its own event with a date, place and notes, and it can host one prospect or a group. Franchise Sales is the org-level +CRM/Franchise Sales add-on ($799/mo); without it the page shows Requires the +CRM/Franchise Sales add-on.
To get there, open the workspace menu at the top of the sidebar, pick your org under Franchise Sales, then click Discovery Days under Compliance & docs. For the AI prep summary on each attendee, see Using the AI Discovery Day briefing.
Reading the page
Four counters run across the top:
- Upcoming (60d): visits scheduled in the next 60 days (cancelled ones aren't counted).
- This week: upcoming visits in the next 7 days, the ones that need prep now.
- Past 90 days: visits held in the last 90 days.
- Conversion: the share of attendees from those past visits who have since become franchisees. It shows a dash until there's history.
Below that, Upcoming groups visits by date, with this week's dates highlighted. Each visit card shows the time, location, notes and attendees. Past 90 days lists up to eight recent visits with their attendees, marked Awarded if any attendee converted or In follow-up if not.
Scheduling a Discovery Day
- Click Schedule Discovery Day.
- Enter the Date & time (required).
- Add an optional Location and Notes for the host, such as the agenda or travel details.
- Under Attendees, tick any prospects who are coming. Only prospects who aren't already booked on a Discovery Day and haven't converted are listed. You can leave this empty and add people later.
- Click Schedule.
The visit is a standalone event. It doesn't change any prospect's forecast close date. Any rep can schedule a visit; read-only members can't.
Managing attendees
- To add someone, use Add attendee... at the bottom of the visit card and pick a prospect.
- To take someone off, click the X on their row ("Remove from this Discovery Day"). They become available for another visit.
- Click a prospect's name or the arrow to open their full record.
A prospect can only be on one Discovery Day at a time. If you can only see your own prospects, the page shows every visit but only lists attendees assigned to you.
Tracking each attendee's prep
Each attendee row has a checklist of five chips. Done items turn green.
- FDD delivered: ticks itself once the FDD has been delivered to that prospect. You can't click it here.
- Agenda emailed: click to mark done, click again to undo.
- Intro call complete: click to mark done or undo.
- Validator calls scheduled: ticks itself once the prospect has a scheduled or completed validation call. You can't click it here.
- Travel confirmed: click to mark done or undo.
Clicking a chip only records that the step is done. It doesn't send the agenda or book travel for you. Below the checklist, Prep briefing writes a short summary for the host; it reads the checklist but never changes it.
Closing out a visit
While a visit is scheduled, its card has two buttons:
- Mark completed once the visit has happened.
- Cancel if it isn't going ahead. Cancelled visits drop out of the Upcoming list and the Upcoming (60d) and This week counts.
A completed or cancelled visit shows that status on its card. To record what came next, such as moving the prospect to the next stage or converting them, use the pipeline and the prospect's own record.
Frequently asked questions
Q: Can more than one prospect attend the same Discovery Day?
A: Yes. A visit can host a group. Tick several prospects when you schedule it, or add them later with Add attendee... on the visit card. Each attendee gets their own prep checklist.
Q: Why isn't a prospect listed when I try to add them?
A: The list only shows prospects who aren't already on a Discovery Day and haven't converted. Remove them from their current visit first if you want to move them.
Q: Why can't I click FDD delivered or Validator calls scheduled?
A: Those two tick themselves from other parts of Franchise Sales: delivering the FDD to the prospect, and scheduling or completing a validation call. The other three chips are clicked by hand.
Q: Does scheduling a Discovery Day change the prospect's close date?
A: No. A Discovery Day is its own event with its own date and doesn't touch the prospect's forecast close date.
Q: How is the Conversion number worked out?
A: It takes everyone who attended a visit in the past 90 days and shows the percentage who have since converted into a franchisee.
