Three Franchise Sales tools help you organize prospect data: Smart Lists (saved filters), Import CSV (bulk-load prospects from a spreadsheet) and Custom fields (your own data points on each prospect). Franchise Sales is the org-level +CRM/Franchise Sales add-on ($799/mo); without it these pages show Requires the +CRM/Franchise Sales add-on.
Open the workspace menu at the top of the sidebar and pick your org under Franchise Sales. Smart Lists is under Engagement, Custom fields is under Insights & setup, and Import CSV is a button in the toolbar on the Pipeline page. For the pipeline basics, see Using the Franchise Sales CRM.
Using Smart Lists
A Smart List is a saved filter that always shows the current prospects that match it. The first time your org opens the page, eight starter lists are created for you, such as "Hot leads — needs touch this week", "FDD window closing soon" and "Unassigned — needs a rep". They're normal lists you can edit or delete.
Pinned lists sit in the Pinned group at the top of the left column; the rest are under All lists. Click a list to see the matching prospects with their Rating, Fit Score, Stage, Territory, Budget and Last contact. Click Sort by fit score to put the best matches first, or Open in pipeline → to jump to the board.
Creating or editing a list
- Click New list (read-only members can't).
- Enter a Name and optional Description.
- Set any filters: Pipeline stage, Rating, Lead source, Minimum budget ($), Maximum budget ($), No contact in at least (days) (never-contacted prospects always match), FDD review window closes within (days), Territory of interest contains, Assigned rep (Any rep, Unassigned only, or a person), Exclude converted prospects and Archived prospects only.
- Under Custom fields, click Add custom-field rule to filter on your own fields (up to 20 rules).
- Check the Rule line, which spells out the filter in plain words, then click Create list.
If you set no filters, you must tick Save it anyway — I want every prospect in this list. To change an existing list, click Edit filters, then Save filters. Click the list name to rename it, then Save changes. The trash button deletes the list; prospects aren't affected.
You can edit a list if it's shared, if you created it, or if you're an org owner or admin. If a custom field used in a rule is later archived, that rule is ignored and the editor tells you so.
Bulk email opens your own email app with every matching prospect's address in BCC. It doesn't send anything from SalesThumb.
Importing prospects from a CSV
- On the Pipeline page, click Import CSV.
- Drop a CSV on the page or click to browse. Up to 1,000 prospects per file, with column headers in the first row. Not sure of the format? Click Download sample CSV.
- Under Map your columns, check each column's match. SalesThumb guesses from the headers. You must map First name and Last name, or a single Full name (split into first/last) column. Other fields: Email, Phone, Company, Lead source, Rating, Territory interest, Investment budget ($), Broker name, ZIP code and Notes.
- Review the Preview of the first five rows. Rows without a name are skipped. A missing lead source shows as Website (default) and a missing rating as Cold (default).
- Click Import N prospects and keep the tab open until you see Import complete.
Any row whose email matches a prospect already in your pipeline is skipped automatically, and the results show how many were Added and Skipped (duplicate), plus any rows that failed. Imported prospects land unassigned in the pipeline's Unassigned bucket. Select them on the Pipeline page and use Assign to route them to reps. The import doesn't set stages or custom-field values.
Adding custom fields
Custom fields adds your own data points to every prospect record, such as "Net worth verified". These are for sales prospects only; shop customer and vehicle fields live in Settings → Custom Fields. Only org owners and admins can add or change them.
- Click New field, or click one of the Quick-add templates (for example Reference checked or Credit score) to add it instantly.
- Enter a Display label. The Key (snake_case) fills in for you.
- Pick a type: Text, Number, Yes / No, Date, Pick list, Email, Phone, URL or Multi-line. For a pick list, add your options with Add option.
- Add an optional description and choose:
- Required: a prospect can't be converted until this field is filled.
- Show in pipeline: shows the value on Kanban cards.
- On lead form: asks the question on your public lead form.
- Click Create field.
Each field shows how many prospects have it filled in. Drag the handle to reorder fields, use the edit button to change one, or the trash button to archive it, which removes it from prospect records. You fill in values in the Custom Fields panel on each prospect's page.
Frequently asked questions
Q: Why does my import skip some rows?
A: Rows with no first and last name (or full name) are skipped before import, and rows whose email already belongs to a prospect in your pipeline are skipped as duplicates. The results screen shows both counts.
Q: Who gets imported prospects?
A: Nobody at first. They land in the Unassigned bucket on the Pipeline page. Select them there and use Assign to route them to reps.
Q: Can I import custom-field values or stages from a CSV?
A: No. The import covers contact and lead details only. Set stages and custom-field values on the pipeline or the prospect page afterward.
Q: Does Bulk email on a Smart List send messages from SalesThumb?
A: No. It opens your own email app with the matching prospects' addresses in BCC. Prospects without an email on file are left out.
Q: What does the Required setting on a custom field do?
A: A prospect can't be converted into a shop until every required custom field is filled in on their record.
