Every franchise prospect has their own page in Franchise Sales, part of the org-level +CRM/Franchise Sales add-on ($799/mo). It holds everything about the deal, and it's where you convert the prospect into a franchisee.
Open it by clicking a prospect anywhere in Franchise Sales, such as a pipeline card or a task on Today. The left column holds the logging box, custom fields and timeline. The right column holds the deal cards. For the pipeline board itself, see Using the Franchise Sales CRM.
The header: stage, odds and close date
Next to the prospect's name you'll see their rating, a do-not-call badge if one applies, and Franchisee once they've converted. On the right:
- Odds %: type a deal-odds number from 0 to 100. It saves when you click away.
- Close date: pick the expected close date. It also saves when you click away.
- Stage: pick a new pipeline stage from the list.
Won stages are locked until the FDD review window has passed. They show a lock with the days left, or "FDD required" if the FDD hasn't been delivered.
Logging activity
- In the box at the top left, pick Note, Call, Email or Meeting.
- Type your notes. For calls and meetings, you can add Duration (min).
- Click Save.
The entry appears in the timeline below, newest first. Hover over an entry and click the trash icon to delete it. The Templates tab in the same box lets you copy email text. See Franchise Sales sequences and message templates.
Custom fields
The Custom Fields panel shows any extra fields your org has set up. Empty fields show an input box straight away: fill it in and click Save. For filled fields, click the pencil to change the value or the trash icon to clear it. Yes/no fields are a simple switch. Fields marked with a red asterisk are required before the prospect can be converted.
Contact and deal health
The Contact card shows email, phone, company, territory, zip, budget, lead source, broker and assigned rep. Click Edit to change any of these, including Rating, Lead source, Assigned to, the broker and Notes, then click Save.
- Portal link copies a link to the prospect's portal to your clipboard.
- Revoke access (org owners and admins) cancels every live portal link for this prospect. This can't be undone.
Deal Health appears once odds or a close date are set. It shows a Win probability bar and the Expected close date, which turns red once it's passed. A Compliance panel at the top of the column covers do-not-call and text-message consent.
FDD timing
The FDD Compliance card tracks the federal 14-day review period. Org owners and admins click Send FDD (or Re-send FDD) to email the prospect their portal link. If your org has more than one published FDD, choose which one first.
The 14-day window starts when the prospect signs their receipt. Until it ends, the card counts down the days remaining. You can't mark a franchise agreement signed, move the prospect to a won stage or convert them. For the document library itself, see Sending FDDs and franchise agreements for e-signature.
Tasks
Under Tasks, type in Add a task…, optionally pick a due date and click + (or press Enter). Tick the box to complete a task. Hover a task to edit or delete it. Overdue tasks show in red.
The franchise fee
Org owners and admins manage the fee on the Franchise fee card:
- Enter the amount and click Set fee.
- Click Email payment link to email the prospect a payment link. A copy also goes to your clipboard. If the email doesn't go out, you'll be told so you can send the link yourself.
- To waive the fee, click Waive fee, enter a reason (required) and click Confirm waive. If a payment link is still open, you'll be asked to confirm, because the prospect could still pay through it.
Once the fee is set, View invoice opens a PDF. Paying the fee unlocks the documents section in the prospect's portal.
Documents and sequences
Under Documents, org owners and admins click + Add, pick a Type, enter a Label and an optional Link (optional), then click Save Document. Click Sign to mark a document signed. Signed documents can't be deleted.
Under Sequences, choose a sequence and click Enroll. Each enrollment shows its step and status. Org owners and admins can Resume a paused enrollment (the failed step retries on the next run) or Cancel one.
Candidate Sites tracks possible locations for the prospect. See Using AI to extract a site packet.
Converting to a franchisee
Org owners and admins click Convert to Franchisee once the FDD window has passed and every required custom field is filled in. Until then, the button explains what's missing.
After you confirm, SalesThumb creates a live shop for the new franchisee, awards their territory and sends an onboarding invite email. You'll get a warning if anything needs attention, such as a territory already claimed elsewhere or no royalty rule set up yet. A banner then links to View onboarding tracker → and See in Locations.
The Details card at the bottom shows days in the current stage and when the prospect was last contacted.
Frequently asked questions
Q: Why can't I move a prospect to a won stage or convert them?
A: The FDD 14-day review window hasn't passed, or the FDD hasn't been delivered yet. The lock shows the days left. Converting also needs every required custom field filled in.
Q: What does converting a prospect actually do?
A: It creates a live shop for the new franchisee, awards their territory and sends a real onboarding invite email. It can't be undone from the prospect page.
Q: Why can't I delete a document?
A: Signed documents can't be deleted, because the signed copy is the legal record. Unsigned documents can be deleted from the hover menu.
Q: Who can send the FDD, set the fee, add documents or convert?
A: Org owners and admins. Other members (except read-only ones) can still log activity, manage tasks, copy the portal link and enroll the prospect in sequences.
Q: Why does a prospect page say Prospect not found?
A: If your permissions limit you to your own prospects, you can only open prospects assigned to you. Ask an org owner or admin to reassign the prospect or change your permissions.
