The Meetings page in Franchise Sales is where your franchise development team sets up public booking pages that prospects use to schedule themselves, and where you see and manage every upcoming meeting. Franchise Sales is the org-level +CRM/Franchise Sales add-on ($799/mo). If your org doesn't have it, the page shows Requires the +CRM/Franchise Sales add-on instead, and the public booking links stop working too.
To get there, open the workspace menu at the top of the sidebar, pick your org under Franchise Sales, then click Meetings under Engagement. For the pipeline itself, see Using the Franchise Sales CRM.
The page has three tabs: Upcoming, Meeting types and Availability. Across the top you'll see Upcoming, Bookings (30d), No-show rate (a dash until there are finished meetings to measure) and Avg time-to-book (always a dash for now; it isn't tracked).
Creating a meeting type
Each meeting type is one booking page, for example a qualifying call or an FDD walkthrough. Only org owners and admins can create or change them.
- Click New meeting type.
- Enter a Name. The Slug (URL) fills in from the name; you can change it.
- Pick a Duration (15 min up to 2 hours, or Full day) and a Channel: Video call, Phone call or In person.
- Add an optional Description. For video meetings, paste your Video room link (Zoom, Google Meet and so on). Prospects who self-book a video meeting get this link.
- Click Create meeting type.
New types start Live. On the Meeting types tab, each live type shows its public link with a Copy button. Send that link to prospects or put it in emails and templates. Use the switch on a card to turn a type off; disabled types hide their link and the public page stops taking bookings. Click the edit button to change a type later. If you change the slug, any link you already shared with the old slug stops working, and the form warns you.
Setting when prospects can book
The Availability tab controls self-booking. Owners and admins can change it.
- Working hours: switch each day on or off and set open and close times. Times are in your org's timezone, which the tab shows.
- Buffer & limits: Buffer between meetings (minutes), Min booking notice (hours), Max bookings per day and Max future window (days).
Click Save settings. These rules apply to prospects booking themselves. When someone on your team books a meeting by hand, the rules are skipped; the only check is that the same rep isn't already booked at that exact time.
What a prospect sees
The public page shows your org name, the meeting name, length and channel. The prospect enters First name, Last name, Email, an optional Phone, picks a time from the open slots for a day (or sees No openings this day), adds an optional note and clicks Confirm booking.
When they book:
- If their email already matches a prospect in your pipeline, the meeting is added to that record. If not, a new prospect is created in your first pipeline stage with lead source Website, unassigned.
- The meeting goes to the least-busy available rep who isn't out of office, is under their daily cap and has room around that time.
- A meeting activity is logged on the prospect.
- The prospect gets a confirmation email when one can be sent, and the success screen only promises an email when it actually went out.
- The rep who got the slot is emailed, if Notify rep on assignment is on in Franchise Sales Settings.
If the time was just taken or falls outside your hours, the prospect sees a message asking them to pick another time.
Booking and editing meetings yourself
Click Book meeting (you need at least one meeting type first). Choose the Prospect, Meeting type, Date & time and optional Notes, then click Book meeting.
On the Upcoming tab, each meeting shows the prospect, type, time, a status badge and a Join meeting button when it has a link. Click the edit button to open Edit meeting, where you can change the Status (PENDING, CONFIRMED, COMPLETED, NO_SHOW, CANCELLED), Date & time, Reassign to another rep or Unassigned, the Meeting URL and Notes, then click Save changes. Cancelled meetings drop off the list.
Reminder emails
For pending or confirmed meetings, a reminder email goes out about two hours before the start time. The Reminder email line in Edit meeting shows whether it was sent. Click Send now to send it right away, for example for a meeting booked inside that two-hour window. Each meeting gets one reminder; after that the button reads Sent. If the prospect has no email on file, you'll see "Can't send — this prospect has no email on file."
Frequently asked questions
Q: Who can create meeting types or change availability?
A: Only org owners and admins. Other reps can book, edit and reschedule meetings, but read-only members can't.
Q: Do the working hours and limits apply when I book a meeting myself?
A: No. They only apply to prospects booking on the public page. A manual booking only checks that the same rep isn't already booked at that exact time.
Q: Why did a shared booking link stop working?
A: The meeting type was turned off, its slug was changed, or the org no longer has the +CRM/Franchise Sales add-on. In each case the public page says the link doesn't exist or isn't available.
Q: Does a self-booked prospect get assigned to the rep who takes the meeting?
A: No. The meeting gets a rep, but a newly created prospect stays unassigned in the pipeline so you can decide who owns the lead.
Q: When does the reminder email go out?
A: About two hours before a pending or confirmed meeting starts. You can also send it early with Send now in the Edit meeting window. Each meeting gets one reminder.
