Recurring Appointments (Scheduling → Recurring, at /app/recurring) automatically books a new appointment on your calendar for a customer on a repeating cadence — weekly, every 2 weeks, monthly, every 3 months, or yearly. This is different from Recurring service reminders, which just sends the customer a text or email nudging them that a service is due. A recurring appointment actually creates the next visit on your calendar on schedule — no reminder message, no reply needed from the customer.
Creating a recurring schedule
Click "New Recurring" to open the Create Recurring Schedule form and fill in:
- Customer — required.
- Service — optional. You can create the schedule without attaching a specific service.
- Installer / Bay — required (marked with *). If your shop has exactly one installer or bay set up, SalesThumb pre-selects it for you so you don't have to open the dropdown — you can still change it. If you haven't added any resources yet, you'll see a warning with a link to Settings → Resources: without one, the scheduled appointment can never be created.
- Frequency — Weekly, Every 2 weeks, Monthly, Every 3 months, or Yearly.
- Start Time — the time of day each generated appointment books at.
"Create Recurring" stays disabled until you've picked a customer and a resource. Once saved, the card's own description is worth taking literally: it auto-creates the next appointment on your calendar based on frequency — this is a real booking, not just a placeholder.
Day of Month is capped at 28
Monthly, Every 3 months, and Yearly schedules show a "Day of Month" field — but it only accepts 1–28. You can't set it to the 29th, 30th, or 31st. If you're used to booking a regular customer on "the last day of the month," pick a day inside the 1–28 range instead, since a literal 29–31 wouldn't exist in every month. Weekly and Every 2 weeks schedules don't show this field at all.
One more non-obvious behavior: after you save a schedule, the form closes and its customer, service, and resource fields are cleared — but the frequency, day of month, and start time you last used are kept. If you're setting up several customers on the same cadence back to back, click "New Recurring" again for each one: the form reopens with your last-used frequency, day of month, and start time already filled in, so you only need to pick the next customer (and resource, if it isn't auto-selected).
Managing existing schedules
Each row shows the customer, a frequency badge, the service (if one was attached), the customer's vehicle (if on file), and the next scheduled date and time.
- The toggle switch pauses or resumes the schedule without deleting it — green means active. Use it when a customer is temporarily off the cadence (on vacation, car sold, etc.) but you don't want to rebuild the schedule later.
- The trash icon permanently deletes the schedule. You'll be asked to confirm first, and the confirmation is explicit that future scheduled visits stop and the action can't be undone.
