Honoring a warranty another location sold (network warranty claims)

Look up a warranty sold anywhere in your network, record the repair as a claim, and settle it between the two locations.

5 min read

If your shop belongs to an HQ network, a customer can bring their car to any location for warranty work. Network warranty lets you look up a warranty another location sold, record your repair as a claim against that location, and agree on the cost. Nothing here moves money. The two shops settle outside SalesThumb, and this keeps the record.

Look up the warranty

On your Warranties page, the Network lookup card finds a warranty sold at any location in your network.

  1. Pick what to search by: Certificate #, VIN, Plate, Phone or Email.
  2. Type the full value. It's exact match only, so a partial VIN or number finds nothing.
  3. Click Look up.

A match shows the certificate, the customer's vehicle and film, which location sold it (with its city and phone), and when it expires. Searches are logged.

The Network lookup card only shows when your shop belongs to an HQ network.

Open a claim

When the warranty is active and was sold by another location, click Open a claim.

  1. Pick the Issue: Bubbling, Peeling, Discoloration, Scratch, Delamination or Other.
  2. Describe What's wrong (at least 10 characters).
  3. Link Your appointment if you've booked the repair. You can do it later, but you need it before you mark the claim repaired.
  4. Click Open claim.

The selling location is notified.

Work the claim

Open claims are listed on the Network claims tab of the Warranties page:

  • Inbound: claims against warranties your shop sold. Another location did the repair.
  • Outbound: claims your shop opened after repairing another location's work.

Click a claim to open it. What you can do depends on your side.

If your shop did the repair

  • Click Edit costs and enter Labor ($), Material ($), Labor minutes and Notes.
  • Pick the appointment the repair was done on and click Mark repaired.
  • Click Cancel claim if it was opened by mistake. It stays on record as canceled.

If your shop sold the warranty

  • Click Acknowledge (it shows the total) to agree the repair cost.
  • Click Dispute and say why if you don't agree.
  • When your shop is the one paying, click Mark settled once you've paid the other shop outside SalesThumb.

Each step notifies the other shop, and the claim keeps a timeline of what happened. HQ can also resolve disputes and mark claims settled. See The HQ warranty network ledger.

If one of the shops leaves the network, the claim is kept as a record and can't be changed.

Frequently asked questions

Q: Can I browse another location's warranties?

A: No. The Network lookup only finds an exact certificate number, VIN, plate, phone or email, and every search is logged.

Q: Does opening a claim charge the other location?

A: No. Network claims are a record only. The shops settle the cost outside SalesThumb and mark the claim settled.

Q: Why can't I mark the claim repaired?

A: Link the appointment the repair was done on first. Pick it under Actions, then click Mark repaired.

Q: What if we don't agree on the cost?

A: The selling shop clicks Dispute and says why. HQ can then set the agreed amount and who pays.
