Charging your locations one-off fees from HQ

Charge training, event or late fees to one or more locations, choose card or royalty statement, void unpaid fees, and see what the shop sees in HQ Connect.

The HQ Fees page is for one-off charges to your locations, like training, events or late fees. Each fee is paid by card in HQ Connect, or added to the location's next royalty statement. It's part of the HQ add-on.

Getting there

In the HQ sidebar, click Fees under Insights. The table lists every fee you've charged, newest first, with the columns Shop, Fee, Amount, Paid by, Due and Status. Any HQ member can read the list. Only HQ owners and admins see New fee and Void. A franchise viewer sees only their own locations' fees.

Charge a fee

  1. Click New fee.
  2. Under What it's for, type a short name, such as "Spring training day".
  3. Add Details (optional) if the shop should see more.
  4. Enter Amount per shop ($). Every shop you pick owes this same amount.
  5. Set Due (optional) if you want a due date.
  6. Under How it's paid, choose By card in HQ Connect or Add to the shop's next royalty statement.
  7. Tick the Shops. Select all and Clear change every box at once.
  8. Click the Charge button, which shows how many shops you picked.

SalesThumb creates one fee per shop and confirms how many shops were charged.

Paying by card

The location opens HQ Connect, clicks the Fees tab, and clicks Pay by card on the fee. Only people who can view financial reports see this tab, the same as the Royalty tab. They enter card details on the page, and the fee turns Paid once the payment is confirmed.

The money goes to your HQ payment account when it's active, and otherwise to your settlement shop, the same as HQ Store checkout.

Adding it to the royalty statement

A statement fee waits as Unpaid. When that location's next royalty statement is generated, the fee appears as a line labeled "HQ fee:" followed by your title, under other fees. Its status changes to On royalty statement. It is collected with the statement. See How royalty calculation and collection work in HQ tier.

If you collect royalties outside SalesThumb, this option is refused. SalesThumb tells you to charge by card instead.

Voiding a fee

Click Void on an Unpaid fee, then Void fee to confirm. The shop no longer owes it, and sees Withdrawn by HQ. You can't void a fee that is paid or already on a statement. Adjust the statement instead.
