The Shop Checklist gives your team a set routine for opening and closing the shop, plus weekly and monthly upkeep. There are two separate sets of lists — one for Shop Staff (front-of-house) and one for Installers — each with a Daily Opening, Daily Closing, Weekly, and Monthly checklist. Anyone on the team can fill them out; owners, admins, and managers can also change the items and see the completion log.
Getting there
In the web app, click Shop Checklist in the Run the shop group of the sidebar. The page has up to three tabs:
- Fill Out — everyone sees this.
- Status — owners, admins, and managers only.
- Customize — owners, admins, and managers only.
Technicians only see the Installers checklists.
In the mobile app, installers can open it from the round menu button at the bottom: Go to → Field → Shop Checklist. The mobile app shows the Installers checklists only — Shop Staff checklists are filled out on the web.
Filling out a checklist
- On the Fill Out tab, pick Shop Staff or Installers at the top.
- Each checklist shows whether it's been done for the current period: "Completed by [name] at [time]" or "Not completed yet."
- Click Start (or Redo if someone already finished it this period). On mobile, tap the checklist.
- Tick each item as you finish it. The header shows how many are checked.
- Click Submit.
The submission is logged under your name. Nothing is saved until you submit — there's no draft, so if you click Cancel or leave the page, your ticks are lost.
You don't have to tick every item to submit. Whatever you leave unchecked is recorded as not done, and managers can see exactly which items were skipped.
When a new period starts
"Done for this period" resets on its own, using your shop's own timezone:
- Daily Opening and Daily Closing reset each day.
- Weekly resets each Monday.
- Monthly resets on the 1st.
If two people both submit the same checklist in one period, both submissions are kept. The Fill Out tab shows the most recent one.
Checking who did what (managers)
The Status tab lists recent submissions, newest first. Filter by All, Shop Staff, or Installers. Each row shows the checklist, who submitted it, when, and a count like "5/6 checked." Click a row to see every item, with a check mark next to the ones that were done.
Each person's own submissions also appear in the Completed Checklists card on their team member page (open them from Settings → Team & Permissions).
Customizing the items (managers)
New shops don't start from a blank page. Every checklist comes with starter items (for example, "Unlock doors and disarm alarm" for staff opening, or "Clean and put away tools" for installer closing). To change them:
- Open the Customize tab. Cards are grouped under Shop Staff and Installers, one per checklist.
- Edit any item's text, click the trash icon to delete one, or click Add item to add a new line.
- Click Save on that card.
Each card saves on its own, and Save stays disabled while any item is blank. A card marked Using defaults is still on the starter items. A card marked HQ Standard is running a checklist your franchise HQ pushed out — you can still edit it, but saving your own version means it's no longer on the HQ standard. For how HQ sends checklists to shops, see Pushing a Shop Checklist standard from HQ.
Things to know
- Submitting from the mobile app needs the Growth plan or higher. On Starter the mobile app is view-only for this, so submit from the web app instead.
- Shop Checklists are simple done-or-not lists. They aren't scored and don't block any job, quote, or invoice.
Frequently asked questions
Q: Who can change the checklist items?
A: Owners, admins, and managers, from the Customize tab. Everyone else only sees the Fill Out tab.
Q: Do I have to check every item before I submit?
A: No. You can submit with items unchecked. They're saved as not done, and managers see the count (like 4/6 checked) and which items were skipped.
Q: When does the daily checklist reset?
A: Daily checklists reset each day, weekly ones each Monday, and monthly ones on the 1st, all based on your shop's own timezone.
Q: Why can't I see the Shop Staff checklists on my phone?
A: The mobile app only shows the Installers checklists, and only to people with installer access. Shop Staff checklists are filled out in the web app.
Q: What does the HQ Standard badge mean?
A: That checklist was pushed to your shop by your franchise HQ and hasn't been edited since. If you edit and save it, it becomes your shop's own version.
