SalesThumb Call Tracking for Zoom Phone logs the calls on the Zoom Phone numbers you choose in SalesThumb. Each call shows up on the Calls page and on the matching customer or lead, so your team can see who called, whether anyone picked up, and what was said before calling back. This guide covers adding the app, using it, and removing it.
What it does
- Read-only. SalesThumb reads your Zoom Phone numbers, call history, recording details and transcripts. It never places calls, sends messages or changes anything in your Zoom account.
- Every call on a tracked number is logged. SalesThumb records the direction, the result (answered, missed, voicemail or declined), the length, the time and which team member handled it, and links the call to the customer or lead with that phone number.
- Unknown callers become leads. When someone you don't have on file calls a tracked number, SalesThumb adds them as a new caller and opens a lead. If they call again while that lead is still open, the call goes on the same lead. Existing customers with past appointments, quotes or invoices aren't turned into leads.
- Recording links. When Zoom has a recording for a call, the call gets a Play recording link that opens it in Zoom. Playback stays in Zoom. SalesThumb doesn't download or store the audio.
- Transcripts and summaries. When Zoom provides a transcript, SalesThumb saves it on the call. The summary is Zoom's own AI call summary when your Zoom account offers one. Otherwise, on plans that include AI call summaries, SalesThumb writes a short summary from the transcript. These usually arrive a few minutes after the call ends.
- Optional missed-call text-back. If you turn on Missed-Call Text-Back, an inbound call nobody answered can get an automatic text from your shop's SalesThumb texting number. It's off unless you turn it on (see below).
What you need
- A Zoom account with Zoom Phone licenses for the numbers you want to track.
- A Zoom account admin to sign in and approve SalesThumb's access for the account.
- A SalesThumb owner or admin (or a teammate given the manage integrations permission) to connect it. Other roles see "Ask your shop owner or an admin to connect Zoom." on the card.
Adding the app
- In SalesThumb, go to Settings → Integrations and find the Zoom Phone card.
- Click Connect Zoom. You're sent to Zoom.
- Sign in to Zoom as an account admin.
- Review the permissions SalesThumb asks for. They're all read-only: your phone numbers, call history, recordings and transcripts, AI call summaries where your plan has them, and your Zoom user profile (so SalesThumb knows which Zoom account connected).
- Click Allow. You come back to the Zoom Phone card, which says "Zoom connected. Choose which numbers to track below."
- Under Numbers to track, tick the numbers you want SalesThumb to log.
- Click Save numbers.
New calls on those numbers start showing up on the Calls page, usually within a few minutes. You can come back to the card any time to tick or untick numbers and click Save numbers again.
Each number can belong to one shop only. A number another shop already tracks shows "(used by another shop)" and can't be ticked. If it should be yours, contact SalesThumb support.
If Zoom access isn't approved, nothing is connected and the card says so. You can try again any time.
Prefer your own Zoom app? Where your Zoom Phone card shows a Connect with your own Zoom app button, a Zoom admin can instead create a private app inside your own Zoom account and paste its keys into SalesThumb. The card walks through each step and lists the read-only permissions to add. If you don't see that button yet, it isn't available in your account yet.
Using it
Calls page. In the sidebar, under Customer flow, click Calls (or click View calls on the Zoom Phone card). Filter by All, Missed, Inbound or Outbound. Click a caller's name to open their customer or lead. Click the arrow at the end of a row to see the summary and transcript. See Reviewing inbound and outbound calls for everything on that page.
Customer and lead records. A customer's profile has a Calls card with their recent calls. Each call is also added to the lead's activity, so a missed call from a lead counts toward Needs a reply, just like a call you log by hand.
AI summaries. Summaries are labeled (Zoom AI) when they came from Zoom, or (AI) when SalesThumb wrote them. Call transcripts are processed by AI to create summaries.
Missed-call text-back. To text callers you miss, turn on Missed-Call Text-Back under Settings → Notifications. The text is sent from your shop's SalesThumb texting number, so your shop needs one. With no texting number, no text is sent. Texts respect opt-outs, quiet hours and a per-caller limit, so a caller who rings several times gets one text. See Setting up Missed-Call Text-Back.
Tell callers they're recorded. Many states (including California, Florida, Nevada, Illinois, Pennsylvania and Washington) require telling every caller that a call is recorded. Turn on your phone system's recording announcement in Zoom before you connect it to SalesThumb.
Who sees what. Team members whose role can't see customer contact info see "Restricted" instead of the phone number, and no recording link or transcript.
Removing the app
You can remove the connection from either side.
In SalesThumb: go to Settings → Integrations → Zoom Phone, click Disconnect and confirm. SalesThumb stops reading new calls, revokes its access at Zoom and deletes your Zoom tokens and the list of tracked numbers.
In Zoom: a Zoom admin signs in at marketplace.zoom.us, goes to Manage → Added Apps, finds SalesThumb Call Tracking and clicks Remove. Zoom tells SalesThumb the app was removed, and SalesThumb deletes the connection, its tokens and its tracked numbers.
Either way, calls already logged stay on your shop's customer and lead records. They're removed on a deletion request. Email hello@salesthumb.com to ask. You can connect again any time.
If you connected with your own Zoom app, click Disconnect in SalesThumb, which deletes the app's saved keys, and delete the app in Zoom if you no longer need it.
How your data is handled
- What SalesThumb reads: your Zoom Phone numbers, and for the numbers you track, call details (numbers, times, length, result, who handled it), recording links, transcripts and AI call summaries where Zoom provides them.
- What it stores: the tracked numbers and a record of each call, including the transcript and summary as text. Recordings stay in Zoom. SalesThumb stores only a link.
- Tokens: your Zoom access tokens are encrypted at rest and deleted when you disconnect or remove the app.
- Who sees it: only your shop's team, based on their role. SalesThumb processes this data on your shop's behalf and doesn't sell it.
- Deletion: when a customer's data is erased, their calls lose the phone number, transcript, summary and recording link.

Frequently asked questions
Q: Does SalesThumb change anything in my Zoom account?
A: No. SalesThumb only reads your Zoom Phone numbers, call history, recording details and transcripts. It never places calls, sends messages or changes settings in Zoom.
Q: Does SalesThumb store my call recordings?
A: No. SalesThumb keeps a link to each recording, and Play recording opens it in Zoom. The audio stays in Zoom. Transcripts and summaries are stored as text on the call.
Q: Who needs to approve the connection?
A: A Zoom account admin signs in to Zoom and approves SalesThumb's read-only access. In SalesThumb, the person who clicks Connect Zoom needs to be an owner or admin, or have the manage integrations permission.
Q: Can two shops track the same Zoom Phone number?
A: No. Each number can be tracked by one shop only. A number another shop already tracks shows as "used by another shop" and can't be ticked.
Q: What happens to my calls if I disconnect or remove the app?
A: SalesThumb stops reading new calls and deletes your Zoom tokens and tracked numbers. Calls already logged stay on your shop's records until a deletion request removes them.
Q: Will callers get a text when we miss a Zoom call?
A: Only if you've turned on Missed-Call Text-Back under Settings → Notifications and your shop has a SalesThumb texting number. The text is sent from that number, never from Zoom.
