You set a tech up on a phone, walk away, and ten minutes later hear "I can't find Quotes." Nothing is broken. The mobile app doesn't have one fixed row of tabs that everybody shares — it has a single round button in the middle of the bottom bar, and what that button opens is assembled from that person's role. Two people holding the same app will genuinely see different lists.
One thing up front: the native iOS and Android apps are still in late-stage beta and there's no public install link yet. The role setup described here is real and configurable today — see Mobile app access: what's set up today for where that stands.
What the bottom bar actually is
- A round logo button — the "thumb" — centered at the bottom, with a red badge counting unread customer messages
- Up to five quick-access icons flanking it: two to a side, plus one centered directly underneath
- Tapping the thumb slides up a Go to panel from the bottom of the screen holding every other destination that person can open
The five flanking icons aren't configurable. They're the first five of the seven main screens that person's role can see, in a fixed priority order: Today, Schedule, Customers, Quotes, Dashboard, Messages, Profile. If a role only qualifies for four of the seven, all four sit in the bar and the Go to panel holds the rest.
The two settings that decide what shows up
Every teammate has two independent settings, and the app combines them — neither one alone decides the menu.
- Shop role — Owner, Admin, Manager, Technician, Front Desk, or Service Writer. Owner, Admin, and Manager all count as "manager" for menu purposes.
- Mobile app access — No access, Installer, Sales, or Full access. This is a separate dropdown, not part of the shop role.
Which of the seven main screens each role gets
- Today — Installer or Full access
- Schedule — Installer or Full access, or any manager
- Customers — Sales or Full access, or any manager
- Quotes — Sales or Full access, or any manager
- Dashboard — managers only (Owner, Admin, Manager)
- Messages — everyone
- Profile — everyone
So a technician set to Installer sees exactly four icons — Today, Schedule, Messages, Profile — and no Customers, no Quotes, no Dashboard. That's the intended layout on a correctly configured phone.
Owners are the exception in the other direction: the Owner shop role automatically carries Installer and Sales access no matter what their own mobile-access dropdown says, which is exactly why the owner's phone shows everything and the tech's doesn't.
Hiding a menu entry is not revoking access
This is the misconception worth stamping out, because acting on it gets shops into trouble. The menu is a convenience layer, not the security boundary.
- Every destination screen re-checks the person's role when it opens and shows its own "access needed" screen instead of the data.
- Every server request is checked again independently, so nothing becomes reachable just because someone followed a link or a deep link into a screen with no icon.
- The reverse holds too — a tile appearing in the menu does not by itself grant anything.
If you want to genuinely take something away from someone, change their role. A missing icon didn't do it, and there is no per-tile show/hide list anywhere in SalesThumb to do it with.
Where an owner actually changes it
Go to Settings → Team. Two things on that page matter:
- The members list at the top — this is where you change someone's shop role.
- The Mobile App Access card further down — a dropdown next to each person's name with No access, Installer, Sales, and Full access. It saves the moment you pick, with no separate Save button.

The gotcha: the app caches a person's role for about five minutes. If you change someone's access while they're standing in front of you, have them fully close and reopen the app rather than assuming the change didn't take.
Gotcha: a Manager or Admin left at "No access" gets a half-open app
The Mobile App Access card says Owners and Admins can always log in with full access. On mobile, that automatic override applies to the Owner role only. An Admin or Manager whose mobile access is still No access will see Customers and Quotes in their bar — their manager shop role puts the icons there — but tapping either one lands on "Sales access needed. Your account doesn't have Sales access." They also lose Today, VIN Scanner, and Earnings, which are Installer-side.
The fix is to set them to Full access, not to keep tapping.
Gotcha: a Sales-only person has no Schedule icon
Schedule is Installer-or-manager. A Front Desk or Service Writer set to Sales gets Customers, Quotes, Messages, and Profile in the bar and nothing else. They can still book work — New Appointment and Waitlist are both in the Go to panel — but the calendar screen itself isn't in their menu. If they need it, set them to Full access.
Related oddity on the same account: managers open on Dashboard at launch, everyone else opens on Today's Jobs. A Sales-only person will land on a jobs list and then have no icon to return to it, because Today isn't in their menu. Confusing the first time, but expected.
Gotcha: Invoices deliberately has no menu entry
Nobody sees an Invoices icon — not installers, not managers, not the owner. It's reached from the Quotes and Invoices toggle at the top of the Quotes screen. If someone reports "there's no Invoices button," that's the whole answer.
Gotcha: a brand-new hire sees almost nothing
Mobile access is set on the invite form, and it can land on No access. When it does, that teammate's bar holds only Messages and Profile, and tapping the thumb shows a single locked tile labeled Access Not Set Up that opens Help & Support. That screen is the app telling you a role was never assigned — go set it in Settings → Team.
Gotcha: a tile appearing doesn't mean your plan includes it
Manager-level tiles like HQ Pulse, Royalty, and Franchise Pipeline show up for any manager. Whether they load depends on your org, not the menu: HQ Pulse's cross-location rollup requires the +HQ add-on ($599/mo on top of your shop plan), and Royalty additionally requires org-admin rights. You'll get an explanation on the screen rather than a blank page, but the tile being visible isn't proof of entitlement.
What's in the Go to panel, by access level
Available to every role that has any mobile access at all:
- Search, Notifications, Tint Estimator, Team Hub, AI Tools, Learn, Tint Shade Preview, Tint Laws, Walkie, Time Off, Awards, Help & Support
Installer or Sales side (managers with no mobile role don't get these):
- VIN Scanner
Installer only:
- Earnings
Sales side or any manager:
- New Appointment, Quick Sale, Booking Link, Waitlist, Sell Gift Card, Flat Glass
Managers only:
- Reports, Inventory, Purchase Orders, Tech Pay, Reviews, Automations, Blast Composer, Warranties, Disputes, HQ Pulse, Royalty, Franchise Pipeline
Three of the everyone-tiles are gated further once you're inside rather than at the menu: Team Hub only lists the channels you're allowed to open, Time Off lets anyone request days off but only managers approve them, and Awards shows your own collection and the shop wall to everyone while the give-an-award flow is Owner and Admin only. Two tiles carry their own badges — Notifications counts unread items, and Warranties counts claims waiting on review.
Quick answers
Q: Can I hide one specific screen from one person without changing their role? A: No. There's no per-tile visibility list. The menu is derived from the role, so the role is the only lever.
Q: I changed someone's mobile access and their phone looks identical. What now? A: Have them fully close and reopen the app. The role is cached for about five minutes.
Q: My tech says "I can't find Quotes." What do I check? A: Their Mobile app access setting. Quotes requires Sales or Full access, or a manager shop role. Installer-only does not include it.
Q: Is the tech locked out of quote data, or just missing the button? A: Genuinely locked out. The Quotes screen and the server both re-check their role, so the missing icon and the missing access are two separate enforcement layers that happen to agree.
