Choosing which shop alerts you get by email and app notification

Use the Shop alerts card on Settings, Notifications to pick which payment, booking, cancellation, rating and staff alerts reach you, and what is on by default.

4 min read

The Shop alerts card on Settings → Notifications is where each person picks which business alerts they get, such as payments, cancellations and low ratings. The choices are personal. What you switch on or off doesn't change anything for your teammates.

Where to find it

Go to Settings → Notifications. The card is near the top, just below the new-lead alert card. New-lead alerts have their own switches there. The card's note reads: "Shop alerts come by email and app notification — never by text. These settings are yours only; each teammate sets their own."

Each row has two switches: Email and App (a notification on your phone). Switches save as you click them. If one can't save you'll see "Couldn't update that alert. Please try again."

The alerts

  • Payment received: when a customer pays an invoice.
  • New online booking: when a customer books on your booking page.
  • Customer moved an appointment: when a customer reschedules from their confirmation link.
  • Cancellation or no-show: when an appointment is canceled, by staff or by the customer online, or marked a no-show.
  • Low rating: when a customer sends a private rating of 3 stars or fewer from a review-request page. See Reading the private feedback customers send from a review request.
  • Checklist step due: when a step on a job's checklist comes due and isn't checked off. It goes to the job's installer, or to the owner if no one is assigned.
  • AI daily summary: each morning, what the AI did, held back, and is waiting on you for. Only on days the AI did something.
  • Staff late or no-show: when someone hasn't clocked in for a scheduled shift.
  • ShopMonkey sync failed: when the nightly ShopMonkey sync fails.

Who sees which rows

Owners, admins and managers see all nine. Service writers, front desk and technicians see only Checklist step due. A role with no rows doesn't see the card at all. You can't switch on an alert your role isn't allowed to get.

What's on before you change anything

Until you flip a switch, the defaults apply:

  • The owner gets Email and App for most alerts.
  • Checklist step due is App only, for every role that can get it.
  • AI daily summary is App only, for the owner.
  • Admins and managers start with the manager alerts off. Switch on the ones you want.

Frequently asked questions

Q: Can I get shop alerts by text?

A: No. Shop alerts come by email and app notification only, and the card has no text switch.

Q: Why don't I see Payment received?

A: Only owners, admins and managers can get that alert. Other roles see just Checklist step due.

Q: Does my choice change what the owner gets?

A: No. Each person's switches are their own.

Q: Why does the app notification for a low rating leave out the comment?

A: The app notification only says who it's from. The email carries the customer's note.
