Redeeming a gift card against an invoice

How to look up a gift card by code on an invoice, choose how much to apply, see what is left on the card and what is still due, and why a card may be refused.

4 min read

A customer can pay some or all of an invoice with a gift card. You do it from the invoice itself. The screen shows what will happen before anything is taken off the card. To redeem at the counter without an invoice, see Selling and redeeming gift cards.

Redeem a card

  1. Open the invoice from Invoices. The Gift card card sits on the left, under the balance. It says "Redeem a card against this invoice's balance." It shows while the invoice is not Paid, Void or Refunded, and only if your role has both the Manage gift cards and Record payments permissions.
  2. Click Redeem gift card.
  3. Type the code in Card code and click Check. The X button closes the box.
  4. If the card works, you see "Card balance" with its amount, and an amount box. The box starts with the smaller of the card balance and the invoice's balance due. Change it if you want to apply less.
  5. Read the three lines under it:
    • Applied to this invoice
    • Left on the card
    • Balance still due
  6. Click Redeem with the amount, for example Redeem $25.00.

When it goes through you see "$25.00 redeemed — invoice paid in full", or "$25.00 redeemed — $40.00 still due". The invoice status changes to Partial if money is still due. On the Payments card the redemption is listed as "Gift card ending" and the last four digits, with the date, "Redeemed" and the amount. The header counts card and cash payments, then adds the gift card total, for example "0 payments recorded · $25.00 from gift card". A card worth more than the invoice keeps the rest for next time. A card worth less leaves a balance due that you collect another way.

When a card is refused

The red message under the code box tells you why:

  • "Gift card not found."
  • "This gift card isn't active." This covers canceled cards.
  • A message that the card is frozen because its purchase was charged back. The shop owner can review it under Promotions → Gift Cards. See Frozen gift cards after a chargeback.
  • "This gift card has expired."
  • "This gift card has no balance left."

If you type more than the card holds or more than the invoice owes, the box says "Can't apply more than" and the smaller of the two amounts. If another sale used the card after you checked it, the redeem step shows the reason right there. Check the code again.

Who can do it

Redeeming needs both the Manage gift cards and Record payments permissions. By default only Owner and Admin have both. If your role is missing either one, the Gift card card does not show on the invoice at all. You can still open the invoice.

Redeeming a card your shop already sold works on any plan. Only selling new cards depends on your plan.

Clicking twice

Each time you check a card, the screen starts one redemption attempt. If your connection drops and you click Redeem again, SalesThumb recognizes the repeat and does not take the amount off the card a second time.

Frequently asked questions

Q: Where is the Redeem gift card button?

A: On the invoice's detail page, in the Gift card card under the balance. It shows while the invoice is not Paid, Void or Refunded, and only to roles that have both Manage gift cards and Record payments.

Q: Can I apply part of a card?

A: Yes. Change the amount before you click Redeem. Whatever you don't apply stays on the card.

Q: What if the card is worth more than the invoice?

A: The most you can apply is the invoice's balance due. The rest stays on the card for the next visit.

Q: Why don't I see the Gift card card on an invoice?

A: Redeeming a card on an invoice needs both Manage gift cards and Record payments, so the card is hidden from roles that are missing either one. By default only Owner and Admin have both.
